Job Summary:

We are seeking a detail-oriented and customer-focused Team Coordinator to join our team. The ideal candidate will be responsible for managing various aspects of restoration projects, including customer service, scheduling, vendor and subcontractor process management, billing tasks, and providing administrative support to construction project managers and estimators. This role requires strong communication skills, multitasking abilities, a knowledge of the construction industry, and a proactive approach to problem-solving. The Team Coordinator will play a crucial role in ensuring the smooth execution of restoration projects while maintaining excellent customer satisfaction.

Full-TIme. Pay Rate: $18 - $22/hr

Responsibilities:

Customer Service:

  • Respond promptly and professionally to customer inquiries, concerns, and requests.
  • Provide updates to customers regarding project status, timelines, and any issues that may arise.
  • Ensure customer satisfaction by addressing any questions or issues effectively.

Scheduling:

  • Working with the Estimator and Project Managers, assisting with project schedules, ensuring timely completion while meeting customer expectations.
  • Schedule appointments, inspections, and meetings with customers, vendors, subcontractors, and team members.
  • Monitor and adjust schedules as necessary to accommodate changes or unforeseen circumstances.

Vendor and Subcontractor Management:

  • Liaise with vendors and subcontractors to assist with quotes, manage contracts, and ensure timely delivery of materials and documents.
  • Maintain strong relationships and communication with vendors and subcontractors, ensuring adherence to project requirements.

Billing Tasks:

  • Assist with preparing and reviewing invoices, change orders, purchase orders, work orders, and punch lists ensuring accuracy and compliance with contractual agreements.
  • Coordinate billing processes with accounting and finance departments, resolving any discrepancies or billing issues.
  • Maintain records of billing activities, payments received, and outstanding balances.

Support to Construction Project Managers and Estimators:

  • Assist project managers and estimators with administrative tasks, such as preparing project proposals, estimates, and reports.
  • Collaborate with project managers to ensure proper documentation and record-keeping throughout the project lifecycle.
  • Provide administrative support during project planning, execution, and closeout phases as needed.

Requirements:

  • 3 years of proven experience in an administrative role, preferably in the construction or restoration industry.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong communication skills, both verbal and written, with a customer-focused approach.
  • Proficiency in Microsoft Office suite and project management software.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and accuracy in all tasks performed.
  • Knowledge of restoration processes, building codes, and regulations is a plus.
  • Willingness to learn and adapt to new technologies and industry best practices.
