Job Description:

Job Function:

The Office Clerk II reports directly to the Assistant Controller. This position involves responsibility for independent performance of difficult and complex account keeping and clerical tasks requiring a thorough knowledge of department procedures. Must be proficient in the use of the College's automated account keeping system.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Process college travel including pre-approvals and reimbursements in accordance with Administrative Guidelines.
  • Maintain financial records, files and accounts.
  • Performs independently the more complex and difficult tasks of the clerical unit.
  • Input vouchers, check requests, and invoices.
  • Write and input journal entries.
  • Backup for the Management Assistant.
  • File and copy documentation.
  • Scan and link invoices and documentation for retrieval as needed.
  • Plans and schedules account keeping and financial record keeping activities, such as reimbursements; vouchers for payment; and posting to accounts routine details of transactions.
  • Compiles fiscal data and assists in preparing reports for financial, statistical or budget purposes.
  • Assists in the development and implementation of new or modified computer programs and systems related to account and financial records and reports.
  • Revises, develops, and implements improved work procedures, forms and methods.
  • Confers with and assists administrative staff regarding budget discrepancies, appropriations, amendments and justifications.
  • Assists the public and internal departments by answering questions or resolving problems.
  • Other duties as assigned.

Requirements:

Required Qualifications:

  • Must currently hold said Civil Service title; or Be reachable on current titled list; or If no list currently exists; be eligible to take next titled exam.
  • If a provisional appointment is offered, the successful candidate must meet the following criteria;
    • MINIMUM QUALIFICATIONS: Graduation from high school or possession of an equivalency diploma, plus EITHER:
      • (A) Graduation with an Associate's degree or successful completion of at least sixty (60) credit hours from a college or university; OR,
      • (B) Two (2) years paid full-time or its part-time equivalent office clerical or secretarial experience*; OR,
      • (C) An equivalent combination of education and experience as defined by the limits of (A) and (B) above.
  • Experience as a Teller, Cashier or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.

NOTE: Your degree must have been awarded by a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S Secretary of Education. If your degree was awarded by an educational institution outside the United States and its territories, you must provide independent verification of equivalency.   • Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

Additional Information:

Job Type: Full Time

Hours: 8:45am - 4:45pm

Salary: $38,638.57 with increment at 6 months of service.
