The Monomoy Regional School District is seeking an Administrative Assistant to the Director of Student Services.PRIMARY PURPOSE: The Administrative Assistant to the Director of Student Services is responsible for supporting the department of special education, specifically as pertaining to the Director of Student Services. Duties encompass a high level of independent work in a wide variety of administrative and secretarial responsibilities. Much of the work handled is of a confidential nature.RECOMMENDED MINIMUM QUALIFICATIONS:1.Bachelor’s Degree or equivalent experience and training.2.5 years of experience in accounting, finance or business administration work. 3.Demonstrated competence in the use of word processing, spreadsheets, and other related software.4.Demonstrated ability to manage multiple tasks, including long term projects.5.Such alternatives to the above qualifications as the Director of Student Services may find appropriate and acceptable.SUPERVISION:Reports to: Director of Student ServicesESSENTIAL FUNCTIONS:The following essential functions or duties listed are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.1.Reception: Greet visitors. Screen visitors and problem-solve whenever possible. 2.Telephone: Respond to inquiries by appropriately directing calls or seeking response and returning calls. Screen telephone calls for the Director of Student Services; problem-solve inquiries whenever possible. 3.Scheduling: Coordinate appointments and meetings for the most effective use of the Director of Student Services time. 4.Document Preparation/Maintenance: Produce documents/reports as needed for the Director of Student Services using Microsoft Word, Excel, PowerPoint and other software as needed. 5.Reports: Ensure evaluation reports are distributed to the appropriate parties for initial and three year evaluations. Ensure Independent Evaluations are distributed to the appropriate parties.6.Student Records - Ensure student records are up to date and maintained in the central office. Communicate with schools to ensure all documents related to the student record are sent to the central office.7.Electronic IEP Program: Ensure all SIMS information is updated. Ensure all record dates are recorded properly.8.Out of District: Maintain financial/placement spreadsheet for students placed in out of district programs and update digital Special Education student records as noted above, including student attendance information.9.Financial: Enter requisitions into the district’s financial system as requested. Track and manage invoices, timesheets, etc. related to special education costs.10.School Choice: Complete the special education school choice report.11.Medicaid: Manage all aspects of medicaid reimbursement procedures and reports.12.Home Hospital Tutoring: Manage the home hospital tutoring procedures, requests, submission of invoices and timesheets, and a list of available tutors.13.Circuit Breaker: Support in the submission of the District’s annual Circuit Breaker claim.14.Special Projects: Complete special projects for the Director of Student Services.15.Ensure confidentiality of student and staff information. 16.All other duties as deemed necessary by the Superintendent of Schools and the Director of Student Services.TERMS OF EMPLOYMENT: Twelve-month work year. EVALUATION: This position will be evaluated annually. WAGES AND BENEFITS: This is a benefit eligible position. Salary: $61,214. Sick, Personal and Vacation Paid Time Off.
