Description

SUMMARY

Assists the Catering & Social Events Manager in representing the club and assisting members and non-members in arranging private catered events. He/she will assist in executing all catered and club social events. He/she will ensure that each event is set-up and executed with high standards and as directed by the Catering and Social Events Manager, ensuring that the membership and guests are provided with exceptional food & beverage service. The F&B Catering Administrative Assistant will assist in overseeing that every detail associated with the set-up, execution, and closeout of all catered and social events are completed as directed by the Catering and Social Events Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Working with Catering & Social Events Manager, the Catering & Social Events Coordinator will assist in promoting and marketing social and catered events to the membership and outside guests.
  • Provide tours of venues with each member or guest interested in booking a catered event.
  • Communicates with members and non-members regularly through the entire planning process to assure that we are meeting and exceeding expectations.
  • Develops thorough, detailed Banquet Event Orders (BEO) to include floor plans, seating charts etc., as directed by the Catering and Social Events Manager.
  • Works with décor, linens and music companies as required ensuring good quality and value for each event.
  • Provides leadership role for each catered and social occasion with fewer than 50 guests, as Event Coordinator, owning every detail of the planning, set-up, execution, and closeout of each event.
  • Works closely with the Catering and Social Events Manager to handle all aspects of the event execution for all social events.
  • Attends all BEO weekly.
  • Diagrams buffet tables, guest tables and other function room set-up needs for special events.
  • Checks banquet event orders against actual room set-up.
  • Transmits and coordinates all necessary details for each event (i.e. arranges for printing of menus, procuring decorations and equipment and other special requests).
  • Works with necessary staff to ensure set up is completed no less than 30 minutes before the scheduled start time of a function.
  • Acts as head waiter at special, private functions and may greet and seat guests as necessary.
  • Ensures that all appropriate charges are billed correctly to each event and forwarded to the Accounting Department for billing.
  • Promotes any and all Club events to members
  • Performs other tasks as requested by the Catering and Social Events Manager.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed, but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
