Job Description

Under the supervision of the Office Manager, provides a wide variety of coordination activities, both technical and administrative, to assist the victim advocates, violence intervention officer, attorneys and victims. Provides statutorily required duties set forth in the Crime Victims' Rights Act. Manages documents for case files within the Prosecutor's Office Victim Rights Division. Activities are varied and complex, often performed under limited supervision, and require creativity and independent judgment.

This is a full-time benefited position working out of the Prosecutor's Office in Holland, Michigan. Travel to other County locations as needed. Typical working hours are Monday-Friday 8:00am-5:00pm.

Essential Job Functions

The essential functions of this position include, but are not limited to, the following:

  • Identifies and opens cases covered by the Crime Victims' Rights Act. Notifies victims of pending criminal charges and provides information regarding their statutory rights.
  • Processes returned victim impact statements, correspondence, and returned mail, updating victim data as needed. Responds to issues raised by victims or directs concerns to the appropriate member of the Victim Rights staff. Handles Victim Rights' document preparation, scanning, and file management functions of the case. Assignments occasionally may include some tasks involving difficult and high profile cases.
  • Schedules appointments for victims or victim's families to meet with an attorney staff member, victim advocate, or violence intervention officer upon request.
  • Tracks Victim Rights' cases and notifies victims and their families of scheduled court proceedings in cases to which they are parties and works with the assigned victim advocate or violence intervention officer to respond to questions or concerns regarding case status or court procedure.
  • At the direction of the assistant prosecuting attorney assigned to a Victim Rights' case, may receive special project assignments to assist in victim assistance.
  • Maintains Victim Rights' departmental records, enters and retrieves Victim Rights' information from the computer system, and acts as Victims' Rights administrative support.
  • Reviews Victim Rights' files upon return from court and assists attorneys to prepare necessary case follow-up to ensure accurate and timely processing of case components as it relates to victim rights.
  • Manages calendar for advocates and prepares documentation for attorneys. Prepares for weekly and unscheduled court sessions including motions, hearings, arraignments, trials, and pleas.
  • Assists with coordinating victims for preliminary examinations and felony trials.
  • Maintains accurate and detailed case records of victim contacts, written notifications, and victim input notes in the electronic case management system(s) and/or the physical files.
  • Notifies victims of final case disposition and provides information regarding post-sentencing rights and services available through the county jail, detention facility, or Michigan Department of Corrections.
  • Performs other Victim Rights’ related functions as assigned including, but not limited to, carrying a caseload and assuming the role of a victim advocate as needed.
  • Helps support an equitable, safe, diverse and inclusive workplace.
  • Other duties as assigned.

Required Education, Training and Experience

High School Diploma required. Associate's degree or higher combined with two years of progressively responsible experience in case management services in criminal justice, other relevant fields, or court services preferred.

Additional Requirements and Information

Required Knowledge and Skills:

  • Good working knowledge of the Michigan Crime Victims' Rights Act -PA 87 of 1985 (M.C.L. 780.751).
  • Good working knowledge of the operation of Michigan Crime Victim Notification Network (MCVNN).
  • Good working knowledge of the criminal and civil court process in the district, circuit, and family courts.
  • Fast and accurate keyboarding skills.
  • Good working knowledge of document imaging protocols and practices.
  • Computer literacy including a good working knowledge of word-processing, spreadsheet, and database management applications.
  • Working knowledge of privacy requirements related to court records.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and human relations skills.
  • Ability to interact positively and objectively with victims, prosecutors, attorneys, judges, law enforcement officers, officers of the court, social and human service agency staff, and members of the general public from a wide range of cultural and socio-economic backgrounds and with varying levels of interpersonal communications skills.

Preferred Knowledge and Skills:

  • Good working knowledge of separation and loss issues.
  • Good working knowledge of civil and criminal law and terminology.
  • Good working knowledge of human behavior, family dynamics and domestic violence.
  • Good working knowledge of community resources available to crime victims and their families.

Note: Verbal and written fluency in Spanish, Cambodian, Lao, or other languages commonly spoken by one or more demographic groups represented in the population is beneficial.

Physical Requirements:
Must be able to perform essential job functions with or without reasonable accommodations, including, but not limited to, visual and/or audiological appliances and devices to increase mobility.

Working Conditions:
Work is performed in a normal office environment and possibly in the courtroom.
