MILWAUKEE ART MUSEUM is Hiring a Development Associate Near Milwaukee, WI

Job: Full time, Hourly, Non-Exempt
Supervisor: Chief Development Officer
Classification: Clerical, Non-Union Position 

General Purpose: The Development Associate provides administrative support to the Chief Development Officer and general support to the Development department with a particular focus on Membership and Individual/Major Giving.

The ideal candidate will be experienced in handling a wide range of administrative support tasks and will be able to work both independently and as part of a highly collaborative team. The candidate must be organized, flexible and enjoy the administrative challenges of supporting a diverse team. 

Crucial to this role is the ability to interact with external constituents (Museum Trustees, donors, prospects, etc.) and internal staff at all levels in a fast-paced environment, while remaining adaptive, proactive, resourceful and efficient with a high level of professionalism. Excellent written and verbal communication skills, strong decision-making ability and attention to detail are equally important. Ability to prioritize and advance multiple projects is key, as is the ability to handle delicate, confidential and privileged information and to anticipate the needs and requirements of the Development Office.

Typical Duties & Responsibilities:

  • Manages and oversees day to day operations of the Chief Development Officer’s office and assists with various administrative and business details. Independently maintains calendars to maximize time efficiency. 
  • Manages the Development/Membership Office phone (in collaboration with the Development Officer for Membership), taking live calls and following up on voicemails.
  • Oversees the preparation and sending of letters and materials from the Chief Development Officer, the Museum Director and the Development Office more broadly to acknowledge donations, memberships, memorials, and other gifts; updates Raiser's Edge (donor database) with the appropriate information, all within prescribed timeframes.
  • Supports budget planning, reconciliation, and reporting processes for the Chief Development Officer’s portfolio of responsibilities.
  • Works with staff throughout the Museum to enter information gleaned from donor relationships into Raiser's Edge.
  • Researches and prepares donor profiles using established templates and iWave database.
  • Supports special projects managed by the Chief Development Officer and requests shared through the Director’s Office.
  • Assists with the preparation of presentations, agendas and other materials to be shared with the Museum staff, Senior Leadership Team, the Museum’s Board of Trustees, and with external stakeholders. 
  • Supports department events by making room reservations, tracking and taking RSVPs, scheduling tours, printing name tags, etc. Attends and assists at museum events as assigned.
  • Assists with special projects as assigned, and coordinates volunteers for larger department projects as needed
Requirements

Qualifications & Experience:

  • Associate’s or Bachelor’s degree; 2 years of office support or customer/client facing experience
  • Exemplary written and verbal communication skills
  • Excellent calendar management skills, including coordination of complex executive meetings
  • Excellent interpersonal skills, project coordination and problem analysis experience along with the ability to work well with all levels of internal management and staff, as well as outside donors and clients
  • Proficiency in one or more of the following: Raiser's Edge, Basecamp, iWave, MS Office, including Word, Excel, PowerPoint, and Outlook
  • Experience scheduling travel arrangements

  • High level of confidentiality, accuracy and attention to detail, as well as impeccable professional practice.
  • Manages time efficiently, self-motivated, and analyzes and solves problems independently and if necessary, collaboratively.
  • Ability to be flexible and embrace changes within this position due to departmental priorities.
  • Ability to work with a wide variety of people to achieve the goals of the Museum. 

Physical Requirements:

  • Remain in a stationary position 50% of the time.
  • Occasionally move packages up to 25 lbs.
  • Move about the museum and offices.
  • Communicate and exchange information with staff and external constituents.
  • Operate computer and other office productivity machinery.
