Founded in 2000, the Milwaukee Academy of Science is a K4-12th grade independent charter school serving nearly 1,400 in downtown Milwaukee. The mission of MAS is to graduate students prepared to compete successfully at the post-secondary level. African American students comprise 99% of the student body and over 95% of students qualify for free or reduced meals. Regardless of student background and external factors, MAS maintains the expectation that students should be on grade level and proficient on state assessments.

Job Summary:

Under the direction of the Chief Academic Officer, the Director of Data and Assessment provides leadership for the coordination and support of all state and local assessments, student achievement data, analysis and reporting of that data, and oversees all efforts related to the student information system (PowerSchool).

I. Position Relationships:

Reports to: Chief Academic Officer

Coordinates with: Managing Director of Teaching & Learning, Chief Compliance and Operations Officer, Director of Special Education and Student Services

II. Position Responsibilities:

A. Data Management and Reporting

● Support the organization’s ability to understand, track, and analyze data (academic focus especially) for strategic planning, ongoing progress monitoring, and decision-making (includes state school report cards, grades/credit accrual reports, assessment scores, walkthrough/coaching roll-ups)

● Lead data reporting (academic data especially) for local/charter authorizer, state, federal reports, and grant-requirements (State Report Card vetting, IDEA/ESSA, CSGF), Immunization

● Ensure Assessment data is rolled up in an accurate and timely way (daily updates during MAP and IA, within a week of all state assessment data available)

● Ensure Test participation rates shared regularly during assessment windows

● Ensure Schools and network staff have clarity on where they stand on Top 5 Goals (roll-ups updated on TBD frequency)

● Ensure Key state reporting compliance deadlines are met (in short-term, while hopefully transitioning ownership to others in the medium/long term)

● Ensure any Grading policy changes based on retakes/credit recovery are made consistently and accurately (within one week of grade storing)

● Ensure Credit Recovery grades are uploaded accurately and efficiently (monthly during the semester, weekly/daily at the end of the term)

● Responsive to stakeholder questions and needs regarding data (reply in a timely way with ideas/resources/guidance)

● Timely/accurate reporting of all network-aligned and standardized assessment data (including during window test participation rates)

● Timely/accurate reporting for key accountability data reports - local/charter authorizer, state, federal reports, and grant-requirements

B. Administration of Assessment Systems and Data

● Act as lead coordinator for state testing

● Work with Director of Special Education and Student Services to ensure accommodations requirements are understood and managed

● Work with Managing Director of Teaching and Learning and school Leaders to coordinate consistent testing protocols

● High-level project manager for state testing logistics and operations (exam ordering, rostering, accommodation requests (co-manage with DSS) participation tracking, supporting testing leads with administration planning and execution questions) - looking for more support/better systems for school implementation/accountability in collaboration with Chief Compliance Officer

● Ensure Deadlines for standardized test planning and implementation are communicated and met

● Communicate test dates with teachers in advance of testing with ample notification

● Load rosters or any other pertinent information to the testing platforms as needed

● Provide support to staff who will be proctoring so they are prepared

C. Student Information System Management (SIS)

● Oversee Grade closeouts/credit recovery grading policy changes implemented in PS

● Facilitate relationship with MBA (PS consultants) to ensure data accuracy and provide org support in PS with academic data

● Ensure Accuracy of student demographics (including EL and IEP status) in PS - should get more support from others over time (data compliance manager, sped compliance manager)

● Coordinate with IT department to ensure student computers and staff computers have necessary software to conduct testing

● Maintain Powerschool database integrity

● Provide Student Enrollment Information to admin as requested in a timely manner

● Prepare Parent registration data and enrollment data for at the beginning of the year to ensure

● Assist where student data and software management impacts scheduling

● Ensuring counselors correctly integrate schedules into power school and manage deadlines

● Provide technical support on powerschool to members of the school community

● Responsible for help-desk services regarding powerschool for school users

● Ensure all student information systems are backed up daily and available to staff at all times

● Assist in directing preparation of class schedules, cumulative records, and attendance reports

● Demonstrate business acumen by understanding and contributing to setting strategic goals and aligning work to accomplish those goals

● Support high school administration and district staff with updating transcripts and other student information in PowerSchool

● Enroll students and staff in online instructional programs (ALEKS, SRI, StudySync, etc.)

* Perform other duties as assigned by the CAO

III. Position Qualifications:

Desired Qualifications: Minimum 3 years’ experience in the following:

● Operating a SIS product and supporting end users

● Setting up and configuring a SIS product

● Developing and delivering training to support end users

● Working with large vendors on issues and operations

● Demonstrated experience in direct user support

● Proficient in Microsoft Office and Excel, Google Docs

Special Requirements:

● Ability to work independently without direct supervision within stated procedures and policies.

● Ability to work in a fast-paced environment.

● Analyze complex issues and systems, evaluate alternative solutions, develop sound conclusions, and recommend a course of action.

● Strong understanding of project management methods and practices, including methods of creating designs, plans, specifications, estimates, reports, tests, and recommendations.

● Knowledge of current instructional and assessment practices.
