Coordinator, Facilities

Millennium Physician Group

Full Time (Monday-Friday 8AM-5PM)

Port Charlotte, FL

The Facilities Coordinator supports the Facilities Department's office administrative functions and processes with assistance, backup, and coordination duties.

Assists with planning and coordinating office-wide processes such as facilities maintenance, space planning, vendor relations, equipment installations, and other events or projects with internal and external stakeholders.

Monitors inventory and places orders for office equipment, supplies, or provisions. Processes mail, invoices, employee expense reports, reimbursements, and petty cash.

May be responsible for performing company database or system administration tasks, including data input, reporting, user support, and upgrades.

Addresses routine day-to-day problems or coordinates with stakeholders to obtain solutions.

Responsibilities

  • Processing vendor invoices and ensuring timely payments are made.
  • Scheduling compliance visits for trade vendors (fire, landscape, pest, waste) and maintaining accurate records.
  • Setting up / canceling utilities and other necessary services for new or closing offices
  • Tracking project hours from the internal team and assisting the Manager with up-to-date project costs to ensure the project is on budget.
  • Ordering supplies for maintenance-related issues, or project material
  • Coding and recording all credit card transactions from techs.
  • Assisting with permitting and licensing for all department employees
  • Being an inventory specialist for all incoming deliveries, including tagging items with Millennium branded ID tags and logging them into the system
  • Serve as the gatekeeper for all supplies exiting the warehouse to ensure great records are accurately maintained.
  • Coordinating signage requests with signage vendor
  • Demonstrate excellent guest service to internal team members and patients.
  • Perform other related duties as assigned.

Qualifications

  • High school diploma
  • 3 years of relevant training and experience, which demonstrates the knowledge and skill to perform the duties and responsibilities as described.
  • 2 years in Facilities management
  • Background in healthcare administration
  • Ability to work independently in a fast-paced, cross-functional environment.
