MilesAhead is Hiring a Senior Coordinator-Research and Planning Near New York, NY

Location: Hybrid or Remote Position

Work hours: Typical hours are Monday - Friday from 9am - 6pm ET. Weekends only if emergencies require immediate attention.

Reports To: Relationship Manager on Trip

our clients with the attention to detail they expect. MilesAhead handles all aspects of the travel planning process
from vetting the right hotels, resorts and villas to securing coveted dinner reservations and event tickets,
arranging VIP meet and greet services at the airport, and planning all daytime and evening activities. In addition
to ground assistance, our team books domestic and international flights, including mileage tickets and private
charters.

Job Description: We are seeking a detail-oriented individual to join our team as a Senior R&P Coordinator for the Research
Planning Team. This role is crucial in ensuring smooth and efficient travel planning and coordination for our
clients. The ideal candidate will possess excellent communication skills, and be proficient in managing various
travel-related tasks. Responsibilities include making ground travel arrangements from start to finish for
individual, group, or family clients, including hotels, dining, activities, and pre/post travel communication,
catering every aspect of the trip to the highest level of personalization and comfort. The Senior R&P Coordinator
will be affluent in connecting with industry partners, from hotels to DMCs alike, and can work on trips with little
supervision from the Trip Lead or with weekly to bi-weekly discussions with the Trip Lead and clients on
planning. They will have vast knowledge on certain destinations as well as well-developed research and planning
skills and the ability to truly anticipate a client's needs.

Responsibilities and Duties:

  • Make ground travel arrangements from start to finish for individual, group, or family clients, including
    hotels, dining, activities, and pre/post travel communication, catering every aspect of the trip to the
    highest level of personalization and comfort.
  • Efficiently input and update travel reservations and arrangements into the AXUS travel management
    system.
  • Conduct thorough trip checks to verify the accuracy of travel arrangements, confirm all reservations, and
    proactively identify and resolve any potential issues or conflicts prior to travel dates.
  • Research entry requirements for various destinations and assist clients in obtaining necessary visas,
    permits, or documentation for international travel.
  • Manage client profiles and databases, including adding new client information and updating existing
    records as needed, while ensuring accurate documentation and maintenance of client preferences,
    loyalty program memberships, and special requests.
  • Calculate fees associated with each trip (accommodations, activities, transfers, reimbursements, and any
    other relevant expenses).
  • Source hotel availability and book hotel reservations via SABRE.

Experience and Qualifications:

  • Strong organizational and time management skills.
  • Exemplary written and verbal communication skills.
  • Ability to manage multiple projects and tasks.
  • Detail-oriented.
  • Strong work ethic and eagerness to learn.
  • Proficiency using Google Workplace (formerly Google Suite).
  • Proficiency in Sabre GDS.
  • Preferred experience in a similar role and/or travel industry.

Salary and Benefits:

  • Total cash compensation package: $75,000
    • $65,000 in base
    • $10,000 in quarterly team bonuses
  • 15 days of paid time off
