POSITION SUMMARY:

Under the direct supervision of the Chief Financial Officer, the Financial Analyst is directly responsible for certain accounting functions and tasks related to the Center’s general ledger system as well as overseeing the Accounts Payable function. The Financial Analyst manages and maintains the accounting database, including a well-organized chart of accounts and trial balance. The position is also responsible for monthly reconciliations of certain accounts within the general ledger and other duties to ensure financial accuracy, regulatory compliance, and timeliness of information.

DUTIES AND RESPONSIBILITIES:

The duties of this position include, but are not limited to:

General Ledger & Month End:

  • Responsible for month-end entries and monthly reconciliation of various accounts, to ensure accurate and timely generation and processing of monthly financial reports.
  • These reconciliations include cash for several accounts, accounts receivable and payable, prepaid expenses, accruals, revenue accounts to the Center’s ticketing software, investment portfolios, and credit card purchases and fees.
  • Oversee the daily/month-end/quarterly/year-end journal entries including but not limited to: overseeing the entering of daily box office reports into accounting software, accounts receivable, allocation of copying, postage and telephone charges, and cash.
  • Maintain the Chart of Accounts of the Center, which includes the creation of new funds, account codes, and projects.
  • Oversee the assignment of general ledger coding for programming and budgetary purposes. Work closely with guest services and programming to ensure the accuracy of general ledger coding.
  • Support annual year-end audit process with the external auditors. Assist with the preparation of audit workpapers including cash, prepaid expenses, accounts receivable, accounts payable, accrued wages and deferred revenue, for the annual audit with the independent auditors.
  • Other duties as assigned.

Budgets & Financial Reporting:

  • Take the primary role of developing the operating budget including developing templates, organizing tasks, coordinating details with departmental budget managers, coordinating with HR, meeting with members of the finance and executive teams, and providing guidance and recommendations.
  • Function as a point of contact for answering budget-related inquiries.
  • Prepare monthly financial reports, schedules, and provide variance research.
  • Analyze and interpret financial data and trends. Provide necessary reports and interpretation of analysis.
  • Assist with banking functions including cash management to maximize interest earnings and prepare cash flow projections.
  • Other duties as assigned.

Accounts Payable:

  • Oversee the processing of all Accounts Payable transactions.
  • Supervise accounts payable personnel, assigning tasks and monitoring progress. Provide performance feedback and perform annual reviews on a timely basis.
  • Maintain and carefully review vendor records to ensure accuracy.
  • Reconcile A/P subledger to the general ledger on monthly basis.
  • Oversee all payments via check, ACH, or wire. Process all wire transfers ensuring appropriate internal controls exist to prevent wire fraud.
  • Ensure accuracy and timeliness of annual 1099 filings.
  • Act as backup to overseeing the process of credit card management: including but not limited to ordering credit cards for employees, manage credit limits, adjust credit limits and information as needed with the bank, act as a contact person for all credit card inquiries, review credit card transactions, ensure accuracy of all cardholders submitted documentation.
  • Other duties as assigned.

Regulatory & Other Reporting:

  • Oversee annual filing and reporting of Michigan Sales Tax returns, Michigan Annual Report, Census reports, Unclaimed Property reports, and Annual Solicitation License.
  • Provide financial information for grants and reconcile stock donations.
  • May conduct periodic and/or special studies/analysis. Reviews, evaluates, and monitors, organizational and departmental strategies, and policies and procedures as they apply to the assigned accounting functions to ensure that they are applied effectively and consistently.
  • Evaluate and monitor internal controls along with efficiency and effectiveness of departmental procedures, recommend changes to internal controls and procedures when necessary; implement when given approval from CFO.
  • Assist with collecting and submitting: financial information regarding requests made by governmental bodies, census reports, FEMA requests, and similar governmental reports.
  • Oversee Fixed Asset system including recording of depreciation journal entries, acquisitions, and dispositions.
  • Track Capital Project spending, including but not limited to lead the data entry for capital project spending and appropriate categorizing, create reports, analysis, and prepare presentations and/or summaries for capital project spending.
  • Other duties as assigned.

Other Duties:

  • Works closely with insurance as needed and orders COIs as required for the Center.
  • Assists in setting and maintaining strategic direction for the accounting department, and aligning department and personal goals to help achieve its objectives and the organization’s objectives.
  • Remains up to date with new technology and policy/procedure revisions.
  • Acts as an accounting application(s) system administrator and workflow analyst.
  • Lead creation of RFPs as assigned.
  • Adheres to all Center policies and procedures, and attends all Center required meetings and trainings, including but not limited to: IT trainings, HR trainings, safety, and DEIA trainings.
  • Contact individuals for aging A/R and inform CFO.
  • Assist departments with building and reviewing financial contracts.
  • Assist as needed with necessary follow-ups related to the financial department, including but not limited to, follow-ups with banks, agencies, health care brokers, etc.
  • Other duties as assigned.

KNOWLEDGE AND EXPERIENCE:

The requirements listed below are representative of the knowledge, skills, and abilities required to perform the necessary functions of this position:

  • Bachelor’s Degree Preferred or equivalent experience required.
  • Minimum of 5 years’ experience in accounting or related field.
  • Ability to manage projects and multi-task in a highly dynamic environment.
  • Strong presentation, organizational, interpersonal, and written and verbal communication skills.
  • Preferred knowledge of: release of temporary restricted net assets, and audit coordination within a nonprofit environment.
  • Various accounting software systems. Prior experience with Financial Edge is preferred.
  • Computer competency in Microsoft Suites.
