SALARY SCHEDULE: SCHEDULE N
DEPARTMENT: ELEMENTARY INSTRUCTION
FLSA STATUS: NON-EXEMPT
SAFETY-SENSITIVE: YES
POSITION SUMMARY:
To provide secretarial and administrative support to the administration; communicating information to students, parents, staff, and other districts. Maintain compliance with financial, legal and administrative requirements; and supporting a variety of services provided to students, parents, instructional, and support employees
QUALIFICATION REQUIREMENTS:
  • Minimum of high school diploma or general education degree (GED)
  • Effective communication, clerical and mathematical skills
  • Previous experience in clerical related tasks is preferred but not required
  • Ability to perform each essential duty satisfactorily
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Monitor and execute student attendance related issues such as but not limited to: record and mail attendance letters and monitor class attendance procedures.
  • Assist with student records as it relates to the following:
  • Enrollment/Withdrawal of students. Type withdrawal notices for students who move or drop out of school.
  • Compiling requested grade checks on students
  • Record requests from other districts
  • Organizes and maintains various files including confidential student files.
  • Maintain student insurance and accident report files.
  • Maintain the operation of substitute system and assist employees in accessing the functions as it relates to them
  • Enrollment/Residency Verification
  • Complies and prepares/composes documents, reports, and communications. Such reports include but are not limited to attendance, attendance records, state reports, office correspondence, honor rolls, ineligibility lists, etc.
  • Create, prepare, and distribute various reports.
  • Assists with the functioning of enrolling or transferring students, supervising the preparation and transmittal of transcripts and other official documents relating to students; etc. Prepares report cards and school honor roll and awards. Keeps all student information updated on the computer.
  • Additional duties that may be assigned by immediate supervisor or above.
LANGUAGE AND GRAMMAR SKILLS:
Ability to read and comprehend simple instructions, short correspondence and memos. Ability to compose and write grammatically correct correspondence and memos.
REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, schedule form, or blueprint form.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
WORK ENVIRONMENT:

While performing the duties of this job, the employee is regularly exposed to fume or airborne particles. The employee frequently works in high, precarious places and in outside weather conditions. The employee frequently works near moving mechanical parts, extreme cold (including outdoors), extreme heat (including direct sunlight), risk of electrical shock and vibration.
The noise level in the work environment will vary from somewhat loud to extremely loud.
To ensure continuity of services, a different work location may be necessary in the event of a health crisis or disruptive situation that requires the closing of school and/or office buildings. An employee’s eligibility for a varied work location will be determined by the superintendent of schools. Expectations and guidelines for this change will be distributed by the employee’s supervisor, based on his/her role and responsibilities.
SUPERVISORY RESPONSIBILITIES:
Employee may occasionally be required to supervise a varying number of employees in the overall direction, coordination, and completion of tasks as assigned.
