Message Center Coordinator

Summary/Objective
Answer incoming calls from patients requesting prescription refills, changes to appointments, test results, work and school notes and restrictions
Work Environment
This job operates in a medical office facility. This role routinely uses office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Essential Functions
This position may cause periods of stress and good attendance is an essential function.
Message center is responsible for taking incoming calls from patients and retrieving messages left by patients.
Calls are to be investigated to address patient’s concern and after obtaining details, leave a task for the physician. Under no circumstances will the employee leave a message for the doctor to contact a patient without the details as to why.
Create a Task in Greenway to the Physician if unable to solve problem. Answer questions etc. Respond to task as directed.
Fax orders, prescription refills, etc. as needed.
Answer incoming calls on multi-telephone system in a professional manner.
Assisting in answering the physician/pharmacy dedicated phone line throughout the day. Checking the main message center voicemail throughout the day.
Assist patients with scheduling appointment by applying knowledge of office operations, knowledge of insurance companies and medical procedures.
Adhere to Greenway guidelines for each Physicians requests, protocols and procedures.
Physical Demands
This position requires the ability to lift 10 pounds files, open filing cabinets, bend, standing or sitting as necessary, answering multi line phone system, writing, reading and note taking, stair climbing.
Position Type/Expected Hours of Work
These full-time positions working variable hours between 8:00 a.m. to 4:00 p.m. Phones are open during these hours.

Required Education and Experience
Polite, sensitive to people, compassionate, ethical conduct, annunciation, communication. Proficiencies which include read, write, active listening skills and good speaking voice.
On the job training maybe sufficient, however previous experience is a plus. Basic computer skills are required along with Medical terminology.
Basic understanding of health insurance, Greenway appointment scheduling software and tracking, and customer relations. Essential part of the job is to learn individual Physician requirements, requests and appointment scheduling needs.
