Overview:
We are seeking a highly motivated, organized, and experienced Clinical Operations Manager (RN) to manage operations across our three pediatric offices.
As a Clinical Operations Manager, you will be responsible for overseeing the daily operations of the clinic, ensuring efficient and effective delivery of services. Our ideal candidate will have strong leadership skills, excellent communication abilities, and a passion for providing exceptional patient care. You must have an innate ability to connect with staff and create consensus; this position is essential to the overall culture of the company.
You will have several direct reports as well as indirect reports and will interface with every employee over time. Your work will directly and indirectly impact the healthcare provided to thousands of children. You will partner closely with the CEO to build a wonderful community of healthcare workers who look forward to coming to work.

Direct Management Responsibilities
40% of your time: Directly manage our phone triage nursing department; write protocols and clinical guidelines to provide excellent patient care. Manage nursing schedules, performance, and overall direction of the phone triage department. Transition into providing phone triage support to backfill absences & to help the team when your other tasks are handled. Act as a liason to communicate and coordinate intra-clinic operational changes that need to occur to ensure efficiency through all deparments. You are the creative problem-solver who can work across departments to get things done, while simultaneously building strong relationships with everyone you encounter.
20% of your time: Directly manage the Lab Supervisor (CMA) to whom all lab staff (CMA, NA) report. Provide guidance, counsel, and direction as they manage their staff. Act as a final check for lab operations to ensure smooth and organized patient flows. Advise on necessary clinic process changes. Ensure compliance. You are the person who makes sure things get done, and done well.
15% of your time: Manage clinic logistics: coordinate annual vaccine process, schedule educational lunches, manage clinical equipment repairs & purchases, determine when we need to do things differently & lead the initiative to make the changes happen.
25% of your time: Shifting projects over time. At times, you will directly participate in the hiring process for RNs (and managing their onboarding) and CMAs. At other times, you will be focusing on a clinical quality initiative and spending time researching, communicating, collaborating, training. Part of this role will always involve the flexibility to do what needs to be done, when the need arises.
When & Where
Most hours are M-F flexing between 7:30AM and 6PM. We are open on the weekends and you would be on-call for incidents and events.
You will split time between our three locations, as needed, but your primary office would be located in Shakopee, MN. It is important to note that this role would travel between multiple clinics on some days, if needed. Many days would be located within one location on a rotating basis to interface with all staff.
Specific tasks:
- Keep a pulse on clinic operations, listen to patient complaints or staff concerns. Identify the need for change and write and implement policies and procedures to optimize.
- Ensure compliance with all relevant regulations and standards, including HIPAA and veterinary practice guidelines
- Oversee inventory management, including ordering and maintaining supplies
-Provide phone triage support as time allows and to cover for illnesses and vacations.
- Drive patient safety and clinical quality initiatives for Medical Assistant staff who room patients, perform specimen collection, etc through your management and guidance of the Lab Supervisor.
- Handle client inquiries, complaints, and concerns in a professional and timely manner
- Collaborate with the human resources department to recruit, train, and evaluate clinic staff
- Monitor financial performance of the clinic, including budgeting and financial reporting
- Utilize practice management systems (Office Practicum) to maintain accurate patient records and facilitate billing processes.
-Utilize phone call volume reporting to recommend staffing changes, scheduling.
Qualifications:
- Registered Nurse with at least 5 years experience, ideally in pediatrics or primary care settings.
- Minimum of 3 years of experience in a supervisory role within a healthcare setting
- Strong knowledge of practice management principles and best practices
- Excellent leadership skills with the ability to motivate and inspire a team
- Knowledge of HIPAA regulations and compliance requirements
- Exceptional organizational and problem-solving abilities
