Metropolitan Market is Hiring a Vendor Billing Manager Near Bellevue, WA

Job Summary: Reporting to the Sr. Director, Center Store, the Vendor Billing Manager plays a pivotal role in enhancing the profitability and success of the Company. This position is responsible for the meticulous monitoring of all promotional contracts, ensuring accurate billing, and overseeing the collection of funds. The Vendor Billing Manager will collaborate closely with vendors, category managers, data operations, and the accounts receivable team to ensure seamless financial operations related to promotions.

Specific Job Duties:

Responsibilities will include, but are not limited to, the following:

  • Coordinates cross-functional teams to improve accuracy and efficiency in all aspects of the vendor billing process. 
  • Oversees the migration of the vendor billing process to any platforms that may be adopted by the Company. 
  • Oversees the promotional contract process from inception to completion, guaranteeing adherence to terms and financial accuracy. 
  • Conducts comprehensive reviews of the billing process, analyzing and reporting on billing accuracy, efficiency, and timeliness of collections, identifying areas for improvement to optimize the revenue cycle. 
  • Reviews and approves all promotions for cost and discount accuracy, ensuring promotional activities align with company financial objectives.
  • Ensures data integrity in promotional contracts and submissions, reviewing for accuracy and completeness. 
  • Facilitates efficient cost and promotion data exchange with vendors, providing clear direction and support. 
  • Conducts routine audits of the database and accounts payable to verify promotional cost accuracy and resolve discrepancies. 
  • Validates invoices against contracts and ensures accuracy in billing details, charges, and compliance with agreed terms, to prevent discrepancies. 

Skills Required/Qualifications: Candidates will be selected from applicants having the best combination of the following qualifications:

  • Minimum two years of experience in finance, accounting, or a related field within a retail or business management context required. 
  • Proficiency in Microsoft Office Suite, with strong emphasis on Excel and Outlook. 
  • Familiarity with SQL Database management and costing software strongly preferred. 
  • Experience in promotional planning, dealing with allowance contracts, and understanding of financial implications. 
  • Excellent communication skills, capable of engaging effectively with both internal and external stakeholders. 
  • A strong detail orientation, coupled with superior project management and follow through abilities. 
  • Exceptional organizational and time management skills, able to prioritize tasks in a dynamic environment. 
  • Demonstrates a high-level of self-motivation, takes initiative, problem solves. 
  • Proven ability to interact and perform all job responsibilities with professionalism and confidentiality essential.
  • Ability to remain flexible; embraces change as an opportunity for growth.

This position demands a proactive, detail-oriented professional capable of managing multiple responsibilities simultaneously. The ideal candidate will be a team player with a keen eye for detail, outstanding communication skills, and a solid foundation in financial and promotional management practices.
