Professional Yard Services is Hiring a Landscape Office Manager Near Sandy, UT

Job Summary:
We are seeking an experienced Office Manager who can role with the punches and constant interruptions, staying on task, yet multi tasking and problems solving to know what the priorities are to oversee the daily operations of our Landscape office. The ideal candidate will be positive, & set an example of a respectful environment, have a strong background in customer service, communication, increasing customer services / sales, closing bids, file management, business office management, and human resources. As the Office Manager, you will be responsible in a supervising role holding employees accountable with getting daily job progression updates, managing daily scheduling of crews, job costing and tracking job material and labor expenses, maintain calendars, Maintain employee files, Manage workflow of projects and confirm clients approval to schedule the job, Set clients up and maintain in quickbooks and scheduling software, Keep all client information & services updated, Keep job service notes updated on recurring services, ensure smooth communication through phone systems, emails, and text.

Responsibilities:
- Manage and organize office files, ensuring they are properly labeled and easily accessible
- Oversee the day-to-day operations of the office, including managing daily crews with job instructions job labor and material bid, schedules and coordinates meetings, Take the minutes for all meetings and emails the office recap.

- Update the annual customer agreements, confirm customer changes, reconnect to increase services.
- Handle human resources tasks such as onboarding new employees, maintaining employee records.
- Coordinate with administrative staff, providing guidance and support as needed
- Maintain office supplies inventory and place orders when necessary through the owner.
- Coordinate with vendors for office maintenance and repairs through the owner.
- Handle phone calls professionally and direct them to the appropriate person or department, respond to all new bids within 24 hours.
- Utilize QuickBooks to generate statements, invoices, and bill customers monthly, and prevent accounts going to collections keeping all accounts with updated payment forms and paid in full.

-Respond to all customer & employee questions or needs within 24 hours. Constantly check emails, voicemails, and text messages throughout the day.
- Maintain confidentiality of sensitive information

Qualifications:
- Proven experience in office management or a similar role
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficient in using QuickBooks for financial management
- Knowledge of human resources processes and procedures
- Excellent team management and supervisory skills
- Ability to handle multiple tasks simultaneously with attention to detail, and not make mistakes with the constant interruptions that occur.
- Strong communication skills, both written and verbal
- Proficient in calendar management and scheduling software
- Familiarity with phone systems and proper phone and email etiquette.

- Bilingual in spanish is preferred but not required. English is required.
