Mental Health Office is Hiring a Program Aide, Central Office; Near Albany, NY

Minimum Qualifications

NON-COMPETITIVE OPPORTUNITY: Candidates must have a high school or high school equivalency diploma; and three years of experience performing clerical, keyboarding, or paraprofessional work in an office environment.
TRANSFER OPPROTUNITY: Candidates must be employed by New York State to be eligible. Candidates must have permanent status as a Program Aide and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 or Section 52.6 of the Civil Service Law by having at least one year of permanent service in a qualifying title within two salary grades or one M-grade of this position.

Duties Description
The Office of Mental Health (OMH) is recruiting to fill a Program Aide, Grade 13, position in the Division of Forensic Services (DFS), the Bureau of Institutional and Transitional Services (BITS), the Mental Health/Criminal Justice Collaboration Unit (MH/CJ). MH/CJ Unit provides support and technical assistance including suicide prevention and mental health training in local correctional facilities, appropriate mental health training for criminal justice staff whose jobs bring them in contact with persons who are mentally ill, alternatives to incarceration, community mental health provider skill enhancement and training, and curriculum development and training facilitation in collaboration with state and local criminal justice agencies. The incumbent would ensure the efficient operation of the Criminal Justice/Mental Health Collaboration unit by performing a wide range of administrative tasks related to correspondence, management of training material, and calendar management; work coordination; customer service; fielding of questions; information gathering; and compilation of reports.
Specific duties may include, but are not limited to, the following:
  • Prepare correspondence, reports and other documents utilizing software such as Microsoft Office.
  • Set up and manage paper and electronic filing systems.
  • Create, maintain, and enter information into a training data bases.
  • Maintain scheduling and event calendar. Schedule and confirm appointments for trainers, attendees,
Unit staff and/or supervisors.
  • Complete forms in accordance with agency procedures.
  • Review work done by others to check for correct spelling and proper grammar, ensures training
material is accurate and conforms to branding requirements; recommend revisions, as needed.
  • Make copies of various documents, including training curriculum and hand-outs; place them in proper
files, and distribute them to appropriate staff, trainers, and training attendees.
  • Open, review, sort and distribute the mail in accordance with staff assignments. Review incoming
correspondence and establish follow-up deadlines; follow-up, as needed.
  • Respond to incoming calls, respond to questions concerning training events, and refer calls to
appropriate staff member for technical information.
  • Assist with coordination of training logistics for trainers, vendors, and training attendees.
  • Travel to training events; complete onsite registration for attendees; assist with training set-up/take-
down (35%)
  • Maintain inventory of office supplies, training material, and arrange for office equipment maintenance
and service.
  • Perform other duties as necessary.

The Division of Forensic Services is conveniently located in independent offices on the grounds of the Capital District PC at 75 New Scotland Avenue, Albany, New York. Guaranteed covered parking is available for $5 per month.
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
