Position: Vice President of Operations

Classification: Exempt

Reports to: President

Status: Full Time

The Vice President of Operations is a high-level executive responsible for overseeing and optimizing all operational aspects of the organization. This role plays a critical part in ensuring the efficiency, compliance, and profitability of the company.


Job Summary:
The Vice President of Operations is a key leadership position within the company and responsible for managing and enhancing the operational functions to achieve organizational and client goals. This role requires strategic planning, process optimization, strong team leadership fostering a culture of excellence, regulatory compliance, extensive problem-solving skills, effective communication skills and the ability to develop and execute strategies in a complex business environment.


Responsibilities:

Strategic Planning:
  • Develop and execute the company’s operation strategies in alignment with overall business objectives.
  • Coordinate the performance of routine audits identifying deficiencies in RCM and implementing changes as needed.
  • Monitor and Audit compliance across all departments
  • Create and maintain monthly KPI dashboard including benchmarks and goals to assess current revenue cycle performances. KPI reports will be completed and presented to the Chief Executive Officer by the 15th of each month.

Process Optimization:
  • Analyze and streamline operational processes, workflows and procedures to maximize efficiency, accuracy and productivity.
  • Implement best practices and solutions to enhance operational effectiveness.

Team Leadership:
  • Supervise, train and mentor staff.
  • Foster a collaborative and high-performance work environment within the organization.
  • Maintain and support a culture of ethics, compliance and integrity.
  • Develop, monitor and communicate performance metrics for team members.
  • Perform performance reviews regularly providing productive feedback and development of growth plans for team members to improve skills and competencies to empower staff to grow to their full potential.
  • Take appropriate corrective actions as needed; prepare and plan workload and successfully manage department responsibilities, establish priorities, demonstrate ability to adapt to changing, unusual or difficult situations.
  • Present best practice research and education to staff on items including but not limited to root causes of process and workflow inefficiencies.
  • Coordinate training internally or through external resources to ensure team members are current on coding, billing and collection regulation.
  • Monitor team member work product for accuracy, timeliness and completeness.
  • Initiate and lead meetings to present analysis and suggested changes of RCM to influence and facilitate decision making for improve strategies and tactics.

Quality Assurance and Compliance:
  • Ensure adherence to regulatory requirements, including HIPAA, and maintain a strong focus on compliance and data security.
  • Develop and implement quality assurance programs to guarantee accurate billing, coding and collection practices.

Client and Vendor Relations:
  • Establish and maintain strong relationships with clients, addressing their needs and concerns promptly.
  • Manage relationships with key vendors and partners to optimize service delivery.

Financial Management:
  • Monitor financial performances and budgeting for departments.
  • Monitor revenue cycle collection and ensure appropriate performance in a timely manner.
  • Identify cost-saving opportunities and strategies for revenue growth.

Reporting and Analysis:
  • Identify trends, opportunities and areas of improvement using data analytics.
  • Perform regular operational performances audit and provide reports to the Chief Executive Officer monthly.

Technology and Systems:
  • Oversee the implementation and management of technology systems to support efficient operations.
  • Evaluate and recommend the adoption of new technologies to enhance operational capabilities.

Risk Management:
  • Identify and mitigate operation risks and develop contingency plans.
  • Ensure business continuity in the face of operational disruptions.

Qualifications:

  • Bachelor’s degree preferred.
  • Extensive experience in healthcare revenue cycle operations, preferably within a medical billing
or revenue cycle management company
  • Proven track record of leadership and successful management of cross-function teams.
  • Strong understanding of healthcare coding, billing and collection processes, regulation and
compliance.
  • Excellent strategic planning and problem-solving skills.
  • Proficiency in technology software relevant revenue cycle management operations.
  • Outstanding communication, negotiation and interpersonal skills.
  • Exceptional analytics and decision-making abilities.
