MDI Management is Hiring an Experienced Property Manager Near Albany, OR

Experience is required

Hours for this position are Monday through Friday 8am-5pm

Weekends may be required at times.

PROPERTY MANAGER DUTIES include but are not limited to..

 Management:

  • Ensure all staff is following through on daily, weekly and monthly tasks.
  • Inspects models and available “market ready” units. Communicate maintenance/cleaning needs to appropriate staff.
  • Ensure overall appearance of property is in suitable condition
  • Assist in monitoring renewals.
  • Monitor advertising effectiveness. Gather information about market competition in the area and share with Property Manager
  • Shop two competitive properties every month.
  • Represent the company in a professional manner at all times.

 Administrative:

  • Accept rental payments and enter into Appfolio. Prepare deposit for accountant.
  • Pull Rent Rolls monthly to ensure accurate market rent is in system.
  • Approve notices and other forms that need to be submitted to residents.
  • Maintain current resident files.
  • Maintain, administer and record daily & monthly inspections for the community.
  • Distribute all company or community issued notices.
  • Maintain accurate monthly commission records on lease renewals for bonus purposes.
  • Consistently implement policies of the community.

 Resident Retention

  • Receive all telephone calls and in-person visits. Listen to resident requests, concerns and comments, respond appropriately or speak with Regional for additional support.
  • Contribute to cleanliness and curb appeal of the community on continuing basis ensuring all signs, banners etc. are neat and in good repair.
  • Assist in planning resident functions. Attend functions and participate as host for any functions.
  • Neighborhood Marketing
  • Type up monthly newsletters
  • Conduct market surveys and shop competitive communities.

Essential Job Functions:

  • Be available for calls from the weekend Leasing Agent and respond to emergencies as needed. Report to Regional if more assistance is needed.
  • Demonstrate an ability to support and contribute to community team.
  • Demonstrate strong oral and written communication skills.
  • Operate telephone, personal computer/keyboard, Microsoft Office including Word and MS Outlook, community software
  • Must possess a positive attitude and the ability to smile under all circumstances.
  • Participate in training in order to comply with new or existing laws.
  • Ability to work a flexible schedule, including evenings and weekends.
  • Neat, clean, professional at all times throughout the workday and/or whenever present at the community.
  • Comply with expectations as demonstrated in the employee handbook.
  • Demonstrate ability to diffuse and respond to resident concerns to avoid escalation of the problem.

 Safety Responsibilities:

  • Learn and ensure compliance with all company, local, state and federal safety rules.
  • Ensures that unsafe conditions are corrected in a timely manner.

 Additional Requirements:

  • Attendance is an imperative job function.
  • Employees must comply with policies, rules and procedures of the company, including those set out in the Employee Handbook or otherwise communicated (verbally or writing) to employees.
  • Applicants must complete background screening to be considered for employment
  • Reliable transportation is required
  • A Cellular device for communication throughout the work day is required

Duties:

Daily:

  • Update vacancy Sheet every morning by 10 am Print out copies for agents and Maintenance
  • Post Facebook and add friends
  • Check signs, banners, entrance of property, put out balloons
  • Send over PO’S to PM for all purchase’s other than petty cash
  •  Send over daily traffic logs
  • Open Clubhouse, clean office, fitness center and check the grounds

1st- 5th:

  • Collect and post rents, deposits done daily and scanned to Accountant
  • Go over payroll and send to PM

6th- 8th:

  • Collect remaining rents, if postmarked after the 5th, charge late fee on the ledger

9th:

  • Call PM and go over delinquency report
  • 1st Delinquencies, posted, and in the binder for tracking and send copies to Regional for approval.
  • 72 hour notices get posted and mailed, make sure all ledgers reflect late fee w/ 72

15th

  • Go over payroll and send to HR
  • (or whenever the 72 hour notices are up) File with Action Services and charge for FED filing fee in ledger (after talking w/ Regional about delinquency report)
  • Mid-month-: Post renewal reminders for those leases ending that month and have not heard from yet.
  • Market survey report to Regional with price comparison chart for rents/rubs due by the 15th.
  • Send over reports on following by the 15th:
  • Down Days
  • Traffic
  • Upcoming community events/new builds etc.
  • Ideas for advertising

Issue 2nd delinquencies and go over with Regional for approval

20th

  • 2nd Delinquency notices to be posted on tenant’s doors. These can also be PGE owing letters, NSF check notices, and various other monies owed.
  • Credit Audit and post to tenant’s doors. Add to binder.
  • Pull Lease renewals for 90 days out and start to prepare lease renewals for 60 days out.
  • Issue final delinquencies must be approved before submitting

20th – 30th of month

  • Renewals: (send for approval)
  • 120 days out- have leasing staff send satisfaction surveys out
  • 90 days out- have leasing staff send out 1st renewal invitation (These get posted to doors)
  • End of the month Renewals: Send over a report to PM
  • Newsletters

Weekly:

  • Check advertising on Craigslist, and view your ratings on apartment ratings online and keep up on your Website for specials and pictures etc.
  • Walk all vacancies and patio walks and property for any problems, write notices and notify Regional of any issues happening.

Monthly:

  • Manager Inspections: Send reports over to Regional
  • Shop two complexes a month in person to see what they are doing and send report over to Regional
  • Plan your social for the next month, make Newsletters and send over budget proposals to Regional
  • This may not be a complete list of Manager Duties and is subject to change at any time.
  • Background Check is required
  • Reliable Transportation is Required
  • Cellular Device is required for immediate contact if necessary while on properties
