MDI Management is currently seeking candidates for the following position:

Position Title: Property Manager

Location: Albany

Position Description: This is a full-time position requiring a commitment of 40 hours per week, with scheduled hours as follows:

  • Monday to Friday from 8 am to 5 pm, with occasional weekend and evening availability necessary.

Job Summary: As a Property Manager, you will oversee the efficient management of our multifamily community. Your role involves ensuring the overall appearance of the property, handling administrative tasks, and fostering resident satisfaction.

Responsibilities:

Management:

  • Ensure staff adherence to daily, weekly, and monthly tasks.
  • Conduct inspections of models and available units, communicating maintenance and cleaning needs.
  • Maintain the overall appearance of the property to ensure its suitability.
  • Assist in monitoring lease renewals and advertising effectiveness.
  • Gather market competition information and share insights with the Regional Manager.
  • Represent the company professionally at all times.

Administrative:

  • Accept rental payments and manage entries into AppFolio, preparing deposits for accounting.
  • Review Rent Rolls monthly to ensure accurate market rent records.
  • Approve notices and other resident-related forms.
  • Maintain current resident files and administer daily/monthly community inspections.
  • Distribute all company or community-issued notices.
  • Maintain accurate monthly commission records for lease renewals.
  • Consistently implement community policies.

Resident Retention:

  • Address resident requests, concerns, and comments promptly or escalate when necessary.
  • Contribute to the cleanliness and curb appeal of the community.
  • Assist in planning and hosting resident functions.
  • Conduct neighborhood marketing activities, including market surveys.

Essential Job Functions:

  • Be available for calls from weekend Leasing Agents and respond to emergencies.
  • Demonstrate strong communication skills and a positive attitude.
  • Operate necessary equipment and software effectively.
  • Participate in training sessions to stay updated on laws and regulations.
  • Work a flexible schedule, including evenings and weekends.
  • Maintain a professional demeanor and comply with company policies.

Safety Responsibilities:

  • Learn and ensure compliance with all safety rules and regulations.

Additional Requirements:

  • Attendance is vital to job performance.
  • Compliance with company policies, rules, and procedures.
  • Minimum of 1 year of experience in property management roles.
  • Experience managing multifamily residential properties, with a focus on lease-up situations.

Duties:

Daily:

  • Update vacancy Sheet every morning by 10 am Print out copies for agents and Maintenance
  • Post CL ads 2x’s a day (1x a week if 100%)
  • Post Facebook 
  • Check signs, banners, entrance of property, put out balloons
  • Send over PO’S to Regional for all purchases other than petty cash
  • New properties send over daily traffic logs
  • Open Clubhouse, clean office, fitness center and check the grounds

1st- 5th:

  • Collect and post rents, deposits done daily and give to Accountant
  • Go over payroll and send to Regional

6th- 8th:

  • Collect remaining rents, if postmarked after the 5th, charge late fee on the ledger

9th:

  • Call Regional and go over delinquency report
  • 1st Delinquencies, posted, and in the binder for tracking and send copies to Regional for approval.
  • 72 hour notices get posted and mailed, make sure all ledgers reflect late fee w/ 72

15th

  • Go over payroll and send to Maintenance Supervisor
  • (or whenever the 72-hour notices are up) File with Andor Law and charge for FED filing fee in ledger (after talking w/ Regional about delinquency report)
  • Mid-month-: Post renewal reminders for those leases ending that month and have not heard from yet.
  • Market survey report to Regional with price comparison chart for rents/rubs due by the 15th.
  • Send over reports on following by the 15th:
  • Upcoming community events/new builds etc.
  • Ideas for advertising
  • Issue 2nd delinquencies and go over with Regional for approval

20th

  • 2nd Delinquency notices to be posted on tenant’s doors. These can also be PGE owing letters, NSF check notices, and various other monies owed.
  • Credit Audit and post to tenant’s doors. Add to binder.
  • Pull Lease renewals for 120 days out and start to prepare lease renewals for 90 days out.
  • Issue final delinquencies must be approved before submitting

20th – 30th of month

  • Renewals: (send for approval)
  • 150 days out- have leasing staff send satisfaction surveys out
  • 120 days out- have leasing staff send out 1st renewal invitation (These get mailed)
  • End of the month Renewals: Send over a report to Regional
  • Down Days
  • Newsletters

Weekly:

  • Check advertising on Craigslist, and view your ratings on apartment ratings online and keep up on your Website for specials and pictures etc.
  • Walk all vacancies and patio walks and property for any problems, write notices and notify Regional of any issues happening.

Monthly:

  • Annual Inspections: Send reports over to Regional
  • Shop two complexes a month in person to see what they are doing and send report over to Regional
  • Plan your social for the next month, make Newsletters and send over budget proposals to Regional
  • This may not be a complete list of Manager Duties and is subject to change at any time.
