We partner with a wide variety of clients to provide the groundwork and underground utilities (water, sanitary, and stormwater) for residential and industrial construction projects.

Position Description:

Our Office Administrator provides front line customer service to visitors at our front desk and is the first point of contact for incoming phone calls. They provide administrative support to internal departments by coordinating mail services, job site paperwork, and ordering supplies. This position requires a high level of attention to detail when reviewing and filing documents, preparing Excel spreadsheets, and assisting with our project bidding processes. The Office Administrator reports to the Vice President of Finance.

This position is full-time and does not have supervisory responsibilities.

The Office Administrator works Monday through Friday 8:00am to 5:00pm with a one hour lunch break. This position is not eligible for telework.

Job Requirements:

  • Act as a first point of contact for inbound calls and visitors at the front desk.
  • Sort and distribute incoming and outgoing mail, packages, and internal paperwork.
  • Support Accounts Payable department with invoice/purchase order matching, invoice entry and statement reconciliation.
  • Prepare weekly reports using internal software programs.
  • Maintain office supplies and backstock for two office locations.
  • Create, edit, and distribute company documents, such as phone lists and service rate cards.
  • Work with building management to report and resolve maintenance issues.
  • Order certificates of insurance from contractors and upload to internal software.
  • Maintain fuel cost records.
  • Prepare and notarize bonds as necessary.
  • Perform other administrative duties as assigned.

Qualifications:

  • High school diploma or GED required.
  • Able to demonstrate a high level of attention to detail.
  • Must have outstanding customer service skills and professional demeanor.
  • Must have effective time management skills and be able to work independently.
  • Intermediate proficiency in Office 365 Suite, including Outlook, Excel, and Word, required.
  • Basic proficiency in Adobe Suite preferred.
  • Notary Public commission preferred.

Compensation: Starting at $20-23 per hour depending on experience. McAninch pays 100% of all benefits, including health/dental/vision insurance premiums, life insurance and cancer insurance. 401(k) with 3% company match and paid time off is also available. Our Employee Stock Ownership Plan (ESOP) is a 100% company-funded retirement plan that awards shares in McAninch Corporation without a penny coming out of your paycheck.
