The managerprovides leadership to a team of Information Systems professionals who are focused on delivering IT products and/or services to Dana-Farber Cancer Institute, Mass General Brigham, and affiliate organizations. The incumbent oversees day-to-day activities of the team, focusing on achieving the team’s deliverables on time and within budget.

The manager provides strong human resources management, including regular feedback, timely reviews, mentoring, and career conversations. S/he is responsible for attracting, retaining, developing and engaging high quality staff.

The Opportunity

The Project Management Office (PMO) manager supports and grows the services and maturity of project management specifically within the DFCI IS Strategic Planning and Performance department, and in general for DFCI. This position reports to the senior manager of Strategic Planning and Performance and is a knowledgeable project management resource.

The PMO manager is responsible for the overall direction of the PMO, providing structure for the organization’s portfolio of projects through the ongoing oversight of the established project management methodology (PMM). A team of project managers report to the PMO manager. In addition to managing these direct reports who lead and support projects, mentor other PMs, and provide training, the PMO manager will manage projects themselves within reasonable allocations.

The following responsibilities and expectations encompass this role:

  • Provide centralized services and consistency across projects for initiation, planning, execution, monitoring and controlling, and closing of projects
  • Review overall project intake process to encourage early planning across IS for resources and budgets, using good business case and proposal practices
  • Vet and assign new project requests to project managers; review allocations to ensure balance; reassess workloads and priorities if situations change or people face conflicting demands
  • Work with senior manager of Strategic Planning and Performance on special projects and support operational efficiencies across IS and ongoing process improvement
  • Ensure IS-led projects have defined success metrics, apply logic-based scheduling techniques using supported tools, practice strong risk management to reduce issues, use accurate estimating techniques for schedules and budgets, and publish lessons learned in an accessible repository
  • Maintain project dashboard reporting; perform quality checks to ensure accurate and updated data
  • Work with DFCI IS managers and senior managers to maintain the agreed-upon PMM approach that is consistent with the vision, strategy, and resource capability of the organization
  • Regularly review projects against required project processes and deliverables through project compliance checks with project managers and project reviews with senior leadership
  • Support the overall project management discipline through corporate-wide communications, internal marketing, external industry events, professional organizations/networking, etc.
  • Provide mentoring and training across IS and the institute that optimizes project management
  • Teach project management classes held as part of DFCI Project University and resource other instructor staff from the PMO
  • Support project management tools, working with the DFCI IS Collaboration & Productivity Tools and Training & Performance teams
  • Work with vendors on projects and regarding project management-related tools
  • Uphold MGB and DFCI policies, procedures, and decisions, ensuring staff compliance
  • When needed, recruit and hire staff and influence employee retention through staff engagement, professional development, and acknowledgement of accomplishments
  • Meet regularly with project management staff as a team and individually
  • Serve as conduit between direct reports and other managers, staff, and HR to manage complaints and disagreements on decisions or project performance
  • Write annual performance reviews for direct reports; provide input for other IS and DFCI staff for their reviews as requested by other managers
  • Build relationships with key DFCI and MGB resources


Principal Duties & Responsibilities

  • Works with managers and directors to establish the team’s goals and objectives, often participating in the definition of work products and timelines.
  • Manages the day-to-day activities of a team of Digital professionals. Focuses on producing the team’s deliverables on-time and within budget.
  • Employs service management, product management and/or project management methodologies to deliver high quality work products.
  • Consistent with Mass General Brigham’s Human Resources policies, attracts, retains and develops high quality staff. Establishes and maintains a work environment conducive to high performance. Addresses the training and professional development needs of the staff.
  • Interacts with clinicians, staff and various levels of management to communicate the status of the team’s efforts.
  • Promotes and encourages a high-quality customer service experience for all customers – internal and external.
  • Collaborates well with other teams to produce results.
  • May work directly with 1-2 vendors to assure delivery of contracted services and products.
  • May work on several medium to high complexity projects and/or services.

Qualifications

  • Bachelor’s degree preferred.
  • 5 years of related experience; experience in healthcare a plus.
  • A combination of education and experience may be substituted for requirements
