Maryland Courts is Hiring an Administrative Office Specialist, Professional Development Near Annapolis, MD

This position performs a wide variety of experienced administrative support and office management duties requiring considerable knowledge of the Professional Development department?s purpose, functions, and activities, as well as knowledge of the Judiciary?s organization, policies, and processes. The Administrative Office Specialist provides highly responsible administrative services in a fast-paced environment that requires strong organizational, technical, and interpersonal skills; provides administrative support to the managers and Assistant Managers of the Judicial College, Department of Professional Development; produces all physical and virtual classroom materials, including learner guides, faculty binders, posters, supporting materials; prepares correspondence, schedules meetings, composes meeting minutes, makes travel arrangements, and facilitates catering orders; processes requisitions and invoices in the Judiciary GEARS accounting system; oversees the inventory, invoicing, ordering, and storage of supplies; and develops course advertisements, then works in collaboration with the college registrar to release the course announcements.

Education: High school diploma (or GED equivalent).

Experience:Three (3) years of work experience providing secretarial, clerical, or administrative work involving the use of a personal computer and word processing software.

Skills/Abilities: Knowledge of Various software applications including Microsoft Suite, PeopleSoft, and Adobe Acrobat Pro/Nitro Pro/PDF document management software; Electronic accounting and finance systems; Extensive photocopier expertise and maintenance procedures; Judiciary policies and procedures; Legal terminology and judicial system language; Basic accounting principles; Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.

Skill in delivering excellent customer service in a trustworthy and ethical manner; Using time management strategies to balance multiple assignments in a detailed and effective manner; Project management to track projects from inception to completion; Organization and time management; Accuracy and attention to detail; Reading, comprehension, proofreading, and editing.

Ability to learn and use new software programs to perform tasks required and streamline work. Apply critical thinking skills to address concerns and job-related challenges. Maintain financial records and to work with the Accounting and Procurement Offices to process invoices and vendor accounts. Maintain confidentiality of records and information. Establish, maintain, process, and update electronic and paper files, records, and documents. Troubleshoot problems; gather and interpret information and make sound recommendations. Communicate effectively, both orally and in writing at all levels. Assemble complex educational materials with available office supply and digital resources. Proofread with accuracy to produce error free results. Understand and carry out complex oral and written instructions. Provide assistance, guidance, and direction to others in a polite and efficient manner. Coordinate with colleagues from multiple departments, at multiple levels within the organization, to ensure projects are completed accurately and timely.
