JOB SUMMARY:

Reporting directly to the Chief Strategy Officer, the Executive Director of Access is a member of the senior leadership team and is responsible for engaging every aspect of patient access, engaging all patient touch points related to access with the goal of establishing a seamless and coordinated approach and experience for patients, families, clinical care teams, and referring providers across the health system for the medical center and ambulatory sites.This role plans, organizes, and directs patient access operations including but not limited to: patient scheduling, referral management, insurance verification and authorization, and financial due diligence. This role provides direction for strategic, administrative, financial, and managerial functions relative to patient access operations, including digital access. This position also provides input on the health system’s strategic initiatives, develops tactical strategies for assigned service groups and ensures compliance with regulatory agencies as well as established standards, practices, and procedures. Specific areas of oversight will be determined but may include service line responsibilities in general ancillary and support departments.

JOB SPECIFICATIONS:

EDUCATION

  • Bachelors Degree in in a work-related discipline/field from an accredited college or university required.Masters in Healthcare Administration highly desirable.

EXPERIENCE

  • Ten (10) years of progressively responsible and directly related work experience.
  • Five (5) years substantially similar work experience in a patient access, call center and/or revenue cycle position and five (5) years of work experience managing patient access staff.

  • Understanding of and/or experience in using Electronic Health Record (EHR) software technologies
  • Demonstrated ability to work independently and exercise creativity.
  • Demonstrated ability to work concurrently on multiple projects with varying priorities; works well under pressure and within deadlines and gives great attention to detail.
  • Excellent judgment and creative problem-solving skills with the ability to handle difficult situations involving patients, physicians, and staff in a professional manner.
  • Demonstrated ability to maintain confidentiality of all medical, financial, and legal information.
  • Knowledge of local, state and federal regulatory requirements related to areas of functional responsibility
  • Ability to plan, prioritize, direct, manage and evaluate as well as set standards for the department or program using a system thinking approach, manage projects and change processes, and effectively and appropriately allocate resources.

DUTIES AND RESPONSIBILITIES:

ESSENTIAL (not modifiable)

  • Provides leadership, strategic oversight, and guidance for patient access initiatives to ensure quality, timeliness, and all clinical, financial, and patient experience goals relative to patient access are met.
  • Provides guidance to other access support areas that are not overseen directly by this position to develop workflows, performance measures and direction on strategic endeavors that could improve access performance.
  • Provides strategic direction and supports efforts in leveraging digital solutions to improve access and the patient experience, while staying at the forefront of innovative digital solutions in the industry.
  • Is accountable for measuring, analyzing, reporting, and driving key performance indicators (KPIs) relative to patient access. Leverage systems to collect and coordinate aggregate data and translate data into insights through data analysis. Provides oversight and is accountable to various forums for reporting on patient access metrics and related performance improvement activities.
  • Engages partners (e.g., Ambulatory Operations, Information Services, Marketing, Patient Experience, Revenue Cycle/Patient Financial Services, and Clinical Leadership) across the organization to identify and understand barriers to patient access and implements data-driven operational and/or technological improvements to address patient access challenges.
  • In collaboration with other departments and entities, endeavors to ensure seamless connectivity and continuity between the ambulatory experience and inpatient or procedural experiences. Responsible for the continued development of call centers to align access efforts across the enterprise to include, patient navigation, scheduling, registration, pre-processing and referral management.
  • Relative to patient access, analyzes and make recommendations for improvements to technology including effective use of EMR, scheduling, appointment, and revenue cycle systems. Introduces technological advancements that support patient access including implementation, maintenance, and hard wiring of digital patient touch points throughout the consumer/patient cycle with high levels of end-user satisfaction.
  • Serves as the subject matter expert in all aspects of patient access, including registration, scheduling, digital health, point of service collections, financial counseling, and access related revenue cycle processes and regulations. Participates
  • in patient access related committees/workgroups, performance improvement
  • and patient experience related committees/workgroups, vendor/access related committees/workgroups, insurance/revenue cycle meetings/committees/workgroups, external facing patient access avenues including but not limited to website/digital health/health equality with Marketing, Information Systems, and participates in the strategic planning and budgeting processes for ambulatory care.
