POSITION: School Office Clerk
LOCATION: York International
PAY RANGE: C10-4 Range, $19.29-$27.71.
CALENDAR: 190 Days, 8 hours per day
FLSA STATUS: Non-Exempt

SummarySupport the efficient and professional operation of all school procedures and activities while creating a welcoming environment where all students, parents, and staff are treated with dignity and respect. Assist with all administrative tasks.
Essential Duties And Responsibilities
  • Create a warm, friendly, collegial atmosphere where service to staff, students, and parents is the priority.
  • Answer the telephone and greet the public.
  • Respond to inquiries and direct staff or administration as needed.
  • Assist with:
  • Registration procedures and maintaining student files.
  • Student enrollment records.
  • Student attendance records.
  • Student discipline records.
  • Parent communications (flyers, newsletters, etc.).
  • Staff communications, using technology effectively (newsletters, bulletins, memos, etc.)
  • Time and attendance documentation, payroll, and calling substitute line.
  • Process mail, both internal and external.
  • Enter work orders as needed.
  • Provide medical treatment for sick or injured when Health Aide is not available.
  • Assist with maintaining school purchase orders and materials inventory.
  • Assist with maintaining school activity fund.
  • Assist with school fund raisers.
  • Assist with Coordination of parent activities, volunteers, SAAC Committee, Yearbook, etc.
  • Assist with insuring efficient working operation of all office equipment and support equipment, such as copy machines, etc.
  • Maintain an orderly, professional office appearance.
  • Be able to work at a fast pace and handle multiple tasks and situations simultaneously and with interruptions.
  • May assist teachers with one or more of the following: implementing lesson plans; maintaining classroom; reinforcing skills and materials; administering, scoring, and/or recording tests and grades; evaluating students and/or program; preparing instructional materials; developing work schedules; performing clerical duties; maintaining files, records, and/or progress reports; supervising students to and from classroom and/or buses, on field trips, on playground, during lunch, in computer lab, and/or during other activities; preparing classroom or learning environment with needed supplies and materials; tutoring; and/or leading activities of class and/or small groups.
  • Ability to assist students with understanding and reinforcing skills and materials in their native language, preferred. May also support parents by interpreting at school functions and/or by providing student progress information.
  • May assist with student health care, including one or more of the following: administering first aid to ill or injured children; caring for bathroom needs; dispensing medication; assisting with medical needs.
  • May attend appropriate in-services, building meetings, training, and/or school functions.
  • Perform other duties as assigned.

Education And TrainingHigh school diploma or equivalent. Technical courses in computing and accounting preferred.
Experience1-year office experience preferred
Skills, Knowledge, & EquipmentMay require one or more of the following skills: basic English, grammar, spelling, writing, word processing, keyboarding, basic computer skills, communication, and/or foreign language. May require operating knowledge of general Health care procedures. Operating knowledge of general office equipment preferred.
Certificates, Licenses, & RegistrationsFirst Aid and CPR certifications may be required.
Supervisory/Technical ResponsibilityThis job has no supervisory responsibilities.
Judgement And Decision MakingWork is assigned by the Principal and Office Secretary. Requires independent judgment and tact to respond to concerns/problems and direct them to the appropriate individual; to properly care for ill students, parent concerns and how to best support school operations. Decision making requires strong collaboration with Principal, office personnel, Health Aide, teachers, students, and families. Supervisor is always involved in decision making.
Diversity Of DutiesDuties may require cross training in one or more of the following: basic health care, student management, special education, bilingual skills, and/or basic instructional skills. Duties and actions impact individuals within the immediate work unit or assigned building.

Work EnvironmentThe noise level in the work environment is usually moderate.
Mental FunctionsWhile performing the duties of this job, the employee is regularly required to communicate, use interpersonal skills, instruct, and analyze. May be frequently required to compare, copy, coordinate, compute, evaluate, and compile.
