MAPLE HOSPITALITY GROUP is Hiring a Senior Executive Assistant Near Chicago, IL

MHG is looking for a Senior Executive Assistant with strong organization, attention to detail and excellent verbal and written communication skills. The Senior Executive Assistant will be responsible for managing schedules, coordinating meetings, preparing reports, and performing various administrative tasks to ensure the efficient operation of the Corporate office.

ESSENTIAL DUTIES:
  • Organize Partner's days by managing his calendar with the ability to prioritize based on urgency and importance.
  • Work closely and effectively with the Partners to keep everyone well informed of upcoming commitments and responsibilities, following up as necessary.
  • Book and coordinate travel arrangements; flight, hotel, and transportation for the operations team and Partners.
  • Be a liaison between the Partners and Internal departments; demonstrating leadership to maintain credibility, trust and support with restaurant operations management staff and corporate department heads.
  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting professional general correspondence, memos, and letters, many of which are confidential in nature.
  • Professionally communicate on behalf of the Partners in their absence or upon
  • Create and maintain organization of flies, databases and spreadsheets in Google Drive and
  • Proactively prepare, update, and send out meeting agendas with supplemental documents, as necessary
  • Screen e-mail messages and telephone calls; appropriately judging when and how to
  • Read and respond to emails communicating the context to the partner on behalf of the partner or determine the appropriate person to respond
  • Travel as needed to assist the partner(s) in local activations,
  • Schedule meetings, appointments, and conference calls and prepare agendas/documents ahead of time
  • Be informed and up to date on the status of all the Partners projects and tasks, assist in keeping the Partners on target with projects and tasks
  • Run errands: printing/copying, shipping, ordering lunch, setting up F&B and logistics for large meetings, delivering and picking up packages and checks within the city.
  • Maintain depleting budget to ensure company maintains budget
  • Maintain comprehensive and accurate records
  • Perform minor accounting duties
  • Other duties as requested by management
RESPONSIBILITIES AND AUTHORITIES:
  • Write quarterly reports for each
  • Work with the applicable department on any projects for the
  • Review and reconcile bills and invoices, this may include personal credit card
  • Responsible for ensuring any necessary licenses are maintained and/or renewed, as
  • Collect and organize tax
  • Responsible for gifts for staff, vendors, and/or guests as
  • Monitor and report progress on
