JOB TITLE:

Office Administrator (Administrative Assistant)

LOCATION:

Edina, Minnesota

Gentle Transitions / WellRive is a sector of Corporate Relocations, we help to alleviate the stress and work associated with moving. We understand the moving process can be incredibly overwhelming and emotional. We offer complete move and transition planning services, taking care of all details to create a seamless process, providing clients with peace of mind. Additionally, we help with staging client’s homes and Retirement community apartments. Our team works with a range of clients, and to accomplish our timelines we need a team leader to help us with managing and delivering the packing material.

GENERAL JOB SUMMARY:

As a part-time Administrative Assistant at our senior move management company, you will play a crucial role in ensuring the smooth operation of our office and supporting our team in providing outstanding service to our clients. You will be responsible for performing a variety of administrative and clerical tasks, as well as assisting with project coordination and client communication.

MAJOR DUTIES AND RESPONSIBILITIES:

Responsibilities:

  • Office Administration:
  • Manage incoming and outgoing mail, emails, and packages.
  • Maintain office filing and storage systems.
  • Order office supplies and maintain inventory levels.
  • Prepare and distribute routine reports.
  • Client Support:
  • Assist clients with inquiries and provide information about our services.
  • Prepare and distribute client correspondence, including contracts, invoices, and reports.
  • Follow up with clients to ensure satisfaction and address any concerns.
  • Community Support
  • Prepare and distribute weekly activity reports.
  • Deliver collateral material as needed.
  • Project Coordination:
  • Assist with the coordination of senior relocation projects.
  • Liaise with senior move managers and other team members to ensure seamless execution of projects.
  • Maintain project documentation and update project status reports.
  • Data Management:
  • Input and update client information in our database.
  • Maintain accurate records of client interactions and transactions.

Education and Experience:

  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Excellent time management and organizational skills.
  • Strong verbal and written communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Empathy and patience when dealing with seniors and their families.
  • High school diploma; additional qualification as an Administrative assistant or Secretary will be a plus.
