Summary

  • The Administrative Specialist I at Employee Health plays a crucial role in ensuring smooth operations and excellent patient service. This position primarily focuses on front desk duties, including check-in, check-out, phone handling, appointment scheduling, and managing patient inquiries. Additionally, the Administrative Specialist I provide essential support to medical records teams, as well as Providers, Occupational Health Nurses (OHNs), and Medical Assistants (MAs).
  • Responsibilities:

  • Front Desk Operations:
    • Greet patients and visitors, ensuring a welcoming and professional atmosphere.
    • Efficiently handle check-in and check-out procedures, verifying patient information and insurance details.
    • Answer incoming calls, address inquiries, and direct calls to the appropriate staff members.
    • Schedule patient appointments, coordinating availability with Providers and other team members.
    • Maintain accurate records of patient visits and update relevant databases.
  • Document Management:
    • Scan and organize medical records, ensuring confidentiality and compliance with privacy regulations.
    • Collaborate with medical records teams to maintain accurate and up-to-date patient files.
    • Assist in retrieving and forwarding patient information to other departments or external entities.
  • Support for Providers, OHNs, and MAs:
    • Assist Providers with administrative tasks, such as preparing patient charts and documentation.
    • Coordinate referrals, follow-ups, and necessary paperwork.
    • Collaborate with OHNs and MAs to facilitate efficient patient care.

  • Required Minimum Knowledge, Skills, and Abilities (KSAs)
    • Education: High school diploma or GED preferred. Bachelor's degree preferred.
    • License/Certifications: N/A
    • Experience: 4-5 years of experience in an administrative support role preferred.
    • Strong written and oral communication skills.
    • Demonstrated experience with all Microsoft Office suite products.
    • Strong interpersonal skills.
    • Strong multi-tasking skills.
    • Strong problem-solving skills.
    • Strong organizational skills.
    • Ability to prioritize competing deadlines.
