HR & Accounting Coordinator

Summary:

Supports the HR Business Partner in the day-to-day operations of the HR department. Handles all internal and external requests and asks for assistance as needed.

Essential Functions:

  • Prepares, processes and reconciles bi-weekly and semi-monthly payroll for all non-executive employees
  • Reviews and approves international payroll
  • Leads recruiting and onboarding activities
  • Assists with benefits and 401k administration, including open enrollment and billing reconciliation
  • Maintains and is subject matter expert on the HRIS, Applicant Tracking System and Learning Management System
  • Maintains and updates other human resources documents, such as organizational charts, employee and safety handbooks, and performance management forms
  • Assists with administering MAHAR’s safety program
  • Maintains and controls HR-related quality documents; will be expected to be certified as an internal quality auditor
  • Responsible for maintaining all HR records
  • Performs payroll and insurance-related GL account reconciliation
  • Performs payroll imports and funding for payroll accounts
  • Assists Accounting and HR with audits, reporting, analysis and special projects
  • Performs various administrative duties and backs up the Administrative Assistant in their absence
  • Keeps up to date with the latest HR trends and best practices and works to improve department functionality and output

Work Environment & Physical Requirements:
Hybrid remote option; Office environment when onsite. Requires extensive sitting and computer use.

Travel Required:
Minimal, but may be required at times

Minimum Qualifications/Skills:

  • Bachelor’s degree in Human Resources, Business, or equivalent in HR and Accounting experience.
  • Communication skills: Excellent speaking and listening skills; excellent written and verbal communication skills
  • Detail-oriented; fantastic organizational and time management skills
  • Interpersonal skills: For interacting with employees and individuals from various backgrounds and experiences
  • Must possess a strong commitment to professional and ethical standards

Preferred Qualifications:

  • Spanish as a second language
  • Prior experience running payroll
  • Prior experience maintaining a HRIS, ATS and/or LMS system
  • Prior experience coordinating or assisting with safety programs
  • Voluntary professional certification a plus
