Magellan Financial is Hiring a Marketing Specialist/Office Assistant Near Phoenix, AZ

Phoenix's fastest-growing wealth management firm, Van Houten & Associates, Inc., is seeking an Office Assistant/Event Coordinator. The ideal candidate will excel in following written instructions, public speaking, and handling various administrative tasks. Responsibilities include filing, answering phones, scanning mail, and general office duties. Additionally, you will set up and tear down financial workshops to ensure an exceptional client experience. Reliability, strong communication, administrative skills, attention to detail, and excellent follow-up are essential.

RESPONSIBILITIES

Office Administration:

  • Answer phones and respond to inquiries in a professional manner.
  • Sort and scan incoming mail, ensuring it reaches the appropriate department.
  • Maintain accurate and organized physical and digital filing systems.
  • Assist in managing office supplies and inventory.

Event Setup and Tear Down:

  • Set up and arrange workshop materials and equipment.
  • Ensure that workshop spaces are well-prepared for attendees.
  • Assist with post-workshop cleanup and packing materials.
  • Engage with clients and participants during workshops to facilitate discussions.

General Office Work:

  • Collaborate with team members on various tasks as needed.
  • Handle scheduling and appointment management.
  • Support other administrative duties as assigned
  • Will handle all of the social media marketing and content creation.

REQUIREMENTS

  • High school diploma or equivalent; some college education preferred.
  • Strong organizational skills with great attention to detail.
  • Excellent communication and public speaking abilities.
  • Self-starter who can work independently and follow written instructions.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Prior experience in office administration or event coordination is a plus.
  • Friendly and professional demeanor.

Job Type: Full-time

Pay: $22.00 - $25.00 per hour

Expected hours: 35 per week
