Job Title: Nursing Support Services Supervisor - Omaha Job Code: 800099 Status: Non-Exempt Immediate Supervisor: Director of Staffing JOB OVERVIEW Responsible for the day to day staffing of facility nursing personnel. Supervises personnel and operations nursing Support (float) and PRN staff. Responsible for supervision of nursing agency personnel. Collaborates with Director of Staffing on recruitment needs and supplemental staffing utilization. Leads and ensures the design and timely publishing of Omaha nursing employee work schedules. Daily adjusts staffing as changes occur. Maintains knowledge of position control for all shifts and nursing staff assigned. Must be competent in knowing, understanding and articulating system policies and processes. Assists in orienting the scheduling process to new nursing department employees. Responsible for providing assistance as directed by the supervisor, which may include word processing, typing, filing, recording of meeting minutes, data entry, record keeping, organization and management of special project work. Assists other system areas upon request as needed. Maintains confidentiality of all personnel records, and facility records. Collaborates with other Madonna staff with nursing procedures Work will be performed in an ethical and legal manner following organizational policies, processes, protocols and procedures. Responsible for quality service delivery and internal/external customer relations for Madonna as a whole, including upholding the mission and values for the department and facility. ESSENTIAL FUNCTIONS (INFORMATION) 1. Oversees supplemental staffing, which includes Madonna support (float) staff, student pool, Madonna PRN staff, and agency nursing. 2. Collaborates with Nurse Managers and Nurse Directors to assure optimal use of supplemental staff for unit scheduling. 3. Assists with developing and reporting on key recruitment and retention indicators such as turnover, survey results, vacancy rates and staff satisfaction. 4. Assists with conducting, implementing, and analyzing formal feedback and needs assessments from current staff, providing recommendations to Director of Staffing. 5. Develops and operates within budgeted staffing expenses. 6. Attends leadership classes and completes training classes as offered by the facility. 7. Manages quality assurance data collection, analysis, and outcome improvement strategies related to support staff. 8. Designs and implements process improvements to meet productivity standards. 9. Oversees the processing of time sheets for nursing department staff and verifies information related to hours worked for supplemental staff. 10. Acts as primary contact for Omaha nursing employee’s questions or concerns related to scheduling. 11. Documents all scheduling changes of nursing employees on master work schedules. 12. Documents absences of attendance and informs units and manager of all absences in order to maintain accurate records of worked hours to assist in monitoring attendance, payroll processing and for ease of areas to make timely patient assignments. 13. Daily adjusts staffing coverage as changes occur in census, absences, and employee turnover to provide best resources management and ideal patient care as defined in established budgeted guidelines. (PEOPLE) 1. Supervises Support (float), student pool and PRN staff on individual performance to ensure quality service delivery and customer satisfaction. 2. Supervises and coordinates nursing agency personnel, placement orientation and performance. 3. Collaborates with supervisor and nurse managers/directors regarding supplemental staffing schedule developments, resource needs, concerns, goals, admission activity, etc. to ensure quality service delivery. 4. Assists with activities related to career fairs, activities with nursing students, and other activities related to nursing recruitment. 5. Follows instruction from supervisor to perform other functions as assigned in order to achieve the goals of the facility. 6. Participates in internal and external events to stay informed of management and leadership trends and activities. 7. Routinely organizes and conducts staff meetings to ensure timely communication to staff on operational, educational and informative topics. 8. Coordinates, reviews and conducts performance reviews to ensure that staff are appraised by the most knowledgeable direct supervisor, that the goals are measurable and individualized. 9. Participates and represents Madonna and/or the rehabilitation and nursing professions in activities. 10. Collaborates with supervisor in scheduling of educational events for nursing staff. 11. Adjusts nursing department employees’ work schedules as needed to accommodate special needs of employees, such as funeral leave, FMLA, or emergencies (THINGS) 1. Operates the computer proficiently to utilize scheduling tools. 2. Performs all tasks using established safety standards to meet regulations and prevent injury. 3. Maintains and ensures a safe and clean environment for the program to which assigned. Handles and operates all necessary equipment and performs required duties according to established safety standards to maintain compliance with regulations and prevent injury. 4. Provides and operates motor vehicle and travels as necessary in order to fulfill recruitment plans and maintain visibility in the community. 5. Responsible for the retention of records for nursing employee schedules. QUALIFICATIONS Current Nebraska RN license and two years clinical experience required. Must possess sufficient knowledge and skill in the area of nurse staffing to develop and maintain staffing patterns and supporting computer systems. Previous leadership/supervisory experience required, recruitment experience preferred. Strong interpersonal skills that foster collaboration, team work, mentoring and principles of customer service are required. Must have strong organizational skills. Must demonstrate problem solving/critical thinking skills and ability to prioritize complete numerous requests.
