JOB DESCRIPTION
Job Title: Medical/Clinical Assistant Job Code: 550094
Immediate Supervisor: Physician Services Manager Status: Non-exempt
DEPARTMENT FUNCTION/JOB OVERVIEW
Responsible for providing quality care to patients under the direction and supervision of licensed health care practitioners, promoting efficient operation of the clinic and providing assistance to physicians and supporting staff and departments. Responsible for patient reception, registration and scheduling in the physician outpatient clinic. Responsible for appointment management and coordination for all patient registration activities to assure efficient operations, of the clinic, physician schedule and patient/insurance billing functions. Responsible for assisting with patient interviews, examinations, treatments as directed. Responsible for performing and recording patient vitals. Responsible for completing QPP measures as decided upon by Madonna and completion of information for any reporting program. Responsible for monitoring appointments and medical record maintenance. Responsible for assisting physicians with prioritization and returning of telephone calls, filling out forms and paperwork, and assisting physicians with organizing care of patients. Responsible for supporting billing functions of Physician Services by preauthorization of procedures and insurance verification and update of patient demographic data in assigned computer programs. Responsible for identifying and creating financial responsibility forms for private pay, or non-covered services. Provides assistance with clinic coverage across campuses as needed. Job demands confidentiality and capability to deal with details, schedule changes and conflicts. Work will be performed in an ethical and legal manner following organizational policies, processes, protocols and procedures. Responsible for quality service delivery and internal/external customer relations for Madonna as a whole, including upholding the mission and values for the department and facility.
ESSENTIAL FUNCTIONS
(INFORMATION)
  • Identify deficiencies in medical records or demographic data and assist with obtaining needed information to complete the preparation for the patient’s visit.
  • Assist physician with recording of medication and therapy orders, filling out physician referral and lab/imaging study requests and completing other relevant orders.
  • Obtain prior authorizations as for follow up visits, medication, procedures, and therapies as ordered by the physician and required by the payer source.
  • Assist patient and physician with communication needed for prescription refills and create refill requests to providers in the medical record.
  • Take and record patient/client statistical data and medical history questions. Take and record patient/client height, weight and vital signs. Record patients medications and chief complaint for visit
  • Assist physicians with tasks related to patient care and medical record management.
  • Document all activities related to patient care, patient contact and medical record management.
  • Receiving telephone calls, record messages accurately and direct appropriately. Return phone calls/messages as needed or directed.
  • Manage internal/external forms. This includes collecting, recording, completing forms, and billing for completion of forms.
  • Assist in maintaining the medical record for active patients. Enter notes on records, review for completeness and accuracy. Record and maintain laboratory and imaging study data on patients’ records. Assist with filing, scanning and all correspondence in the medical records.
  • Take and give laboratory and study reports as directed.
  • Assist with scheduling appointments for physicians (in person and by telephone), including meetings as needed.
  • Assist with scheduling physician orders as needed and advise patients accordingly.
  • Assist in obtaining appropriate reimbursement by preauthorization of procedures.
  • Obtain information from providers involved in the patient’s care prior to return appointments.
  • Keep storage areas organized.
  • Inventory, order and stock office/medical supplies to include EMG and injection supplies and linens.
(PEOPLE)
  • Communicate effectively with internal and external customers.
  • Greet patients and visitors in a hospitable manner.
  • Escort patients to exam rooms.
  • Assist patients with filling out intake forms as needed.
  • Keep aware of what patients are present and waiting.
  • Prepare, gown, drape and position patients for examination.
  • Assist with examinations and treatments as appropriate.
  • According to physician preference, assist physician with injections. Post injection, clean the patients’ injection sites and apply bandages as directed.
  • Prepare the patient for electro diagnostic studies as instructed by physician.
  • Instruct patient regarding proper preparation for tests as directed.
  • Follows instruction from supervisor to perform other functions as assigned in order to achieve the goals within the department and/or system.
  • Communicate with supervisor and staff physicians to promote open communications.
  • Assist in keeping facility neat, attractive and in sanitary condition at all times. Contacts maintenance personnel when needed.
  • Complete additional duties and tasks as directed.
  • Collaborates with other clinic staff which contributes to the development of a positive team environment and capitalizes on the strengths of all team members to deliver successful outcomes.
(THINGS)
  • Set up examination/treatment rooms; change linen in between patients. Clean exam room according to protocol.
  • Set up medical equipment, i.e., EMG machine, used during examination and procedures. Clean EMG electrode cables between patients and at the end of the day after use according to protocol.
  • Dispose of contaminated and disposable items.
  • Operate personal computer to register/schedule patients, schedule appointments, and generate reports and e-mail.
  • Operate telephone to receive, place and transfer calls and to perform other telephone functions.
  • Operate scanner, photocopier and fax machine.
  • Maintain neat, clean, and safe environment for the facility. Handle and operate all necessary equipment and perform required duties according to safety standards to maintain compliance and prevent injury.
  • Receive, organize and track medication samples.
  • Receive, organize and log injectable medications.
  • Provides own transportation for travel between campuses.
PHYSICAL DEMANDS AND ENVIRONMENTAL CONDITIONS
Medium work. Occasional manual patient transfer or reposition which does not exceed the equivalent of 35 pounds of force to lift, push or pull. Frequent walking with maximum duration of up to 30 minutes sustained walking on tile, carpet and other surfaces. Occasional standing and must tolerate frequent sitting with sustained periods of up to 1 hour. Frequent reaching with both arms at low, waist, and high levels. Frequent grasping of both hands requiring normal grip strength based on national averages. Frequent stooping, bending and twisting are required for patient care. Constant near visual acuity to monitor patients, review correspondence, billing/statistical information and medical chart set-up/documentation and operating computer. Ordinary hearing and speaking skills. May be exposed to biohazardous materials. Indoor work, not exposed to outdoor elements. Must be able to handle frequent repetition and interruption. Mobility required for travel between campuses.
QUALIFICATIONS (Education/training and/or Experience)
High school equivalency with one year post high school education required. Graduate of an approved medical assistant program, active as a Nurse Aide on State Registry or current LPN licensure required. One year experience in physician office, clinic, hospital or related area required. Additional work experience may be considered in lieu of post high school education. CPR for Health Care Provider and knowledge of medical terminology required. Must have excellent customer service skills with ability to work in fast paced, demanding situations without adverse reaction. Ability to operate personal computer and standard office machines required. Valid Nebraska driver’s license and proof of good driving record required.
