Your role at Sephora:

As Procurement Governance & Compliance Program Manager, you will be responsible for the compliance of the procurement governance framework, policies and processes. You will effectively develop, maintain, communicate and continuously improve the governance framework. This role is essential in monitoring compliance and providing expert advice to procurement team members, business stakeholders and support functions on all aspects of procurement.

Reporting to the Senior Director, Internal Audit & Control, your exciting new role will include the following:

  • Create, maintain, communicate and implement procurement governance processes and policies
  • Monitor procurement compliance throughout the vendor lifecycle from RFP to vendor setup to invoice payment and beyond
  • Collaborate with various stakeholders across the vendor lifecycle to identify, control and report financial, brand, commercial, contractual, ethical and supply chain risks
  • Participate in the development and maintenance of integrated end-to-end tools, templates and processes that support the procurement lifecycle including contract, RFP and DOA documentation retention
  • Promote and support a culture of compliance, risk mitigation and corporate accountability at various levels of the organization
  • Introduce procurement governance training materials, manuals and sessions to ensure business partners become familiar with all procurement requirements
  • Drive continuous improvement of procurement governance policies framework based on stakeholder feedback and testing results
  • Develop and execute a project plan to complete a contract, bidding and compliance review of all current active vendors
  • Plan and execute regular compliance audits including, but not limited to, RFP performance and documentation, DOA compliance, contracts, use of POs and approvals prior to committing spend. Ensure evaluations of proposals, offers and bids are in accordance with internal policies such as bidding policy, legal review policy, DOA and COI policy
  • Meet with business partners at all levels of the organization regarding contracts and bidding efforts undertaken
  • Write clear, concise audit/compliance reports suitable for distribution to management. Identify value-added recommendations to improve processes and internal controls following compliance reviews
  • Use data to analyze transactions, identify trends, risks, and controls required. Identify loopholes and recommend risk aversion measures and cost savings
  • Become a key driver of the No PO, No pay policy to ensure appropriate approvals are obtained prior to committing the company. In partnership with the accounting team, review and ensure policy is adhered to.
  • Assure invoices are audited for compliance with contract terms and contract description
  • Develop governance to ensure records are maintained and procurements are documented from origination through completion
  • Make recommendations on policies and procedures as needed to ensure the success and compliance of all procurement related activities
  • Engage with business partners to pro-actively provide advisory and guidance on risks and controls for new projects, programs or initiatives relating to procurement activities
  • Design and lead compliance audits from end to end ensuring the scope and approach is aligned with Internal Audit leadership. As this is an exciting new role, out of the box thinking and expertise will be required without leveraging any existing governance documents and workpapers
  • Continue to follow up with business partners on action plans after the compliance review is closed. Conduct follow up compliance audits to monitor management’s interventions
  • Identify industry best practices in procurement function relating to Supplier Management, Supplier Risk, Sustainability and Risk Management
  • Undertake special projects, ad-hoc audits, projects reviews or similar upon request, depending on needs within the Internal Audit and Control department

We’re excited about you if you have:

  • Bachelor's degree required with major course work in purchasing, accounting, finance, business or public administration or a closely related field
  • Minimum 5 years of professional experience in areas of procurement governance, procurement risk, procurement compliance activities, accounting, internal and/or external audit, compliance, finance or controlling, either in audit/consulting firms or large companies
  • Experience in introducing procurement policies, systems, processes and ways of working
  • Understanding of end-to-end supplier lifecycle processes including supplier risk assessment and onboarding, ongoing due diligence and supplier offboarding
  • Experience in designing and leading compliance audits and development of test scripts
  • Preferred background in Retail or Consumer Packaged Goods
  • Project management skills—Ability to strategically organize complex projects, including identifying, collecting, and analyzing relevant evidence, conducting interviews, and writing reports
  • Strong interpersonal skills—Ability to develop, facilitate, and implement strategic project plans
  • Communication skills—Excellent oral and written communication skills including ability to effectively convey concepts in understandable terms, both in writing and verbally; deliver oral presentations to diverse groups.
  • Problem Solving skills—ability to use analytical thought to exercise judgment and identify innovative solutions
  • Results-driven mindset, intellectually curious, self-starter, requiring minimal supervision
  • Ability to maintain balance amidst opposition and change
  • Ability to take initiative, reason logically, and be creative in developing and introducing new ideas
  • Enthusiastic, driven work ethic, with a can-do attitude
  • Ability to manage and streamline multiple, concurrent projects, while balancing competing priorities
