Job description

The Logistics Coordinator supports the Refugee and Immigrant Services (RIS) Program in securing donations and furnishing apartments in preparation for arrival of new families. As a key role in LSSNCA’s community engagement strategy, this position coordinates the procurement of donations, donation drives, and logistics of home setups for refugee families by working closely with resettlement staff and liaising with Good Neighbor Partner (GNP) groups and community members. This position will serve as the agency point of contact in the community to manage gift-in-kind donations for refugee clients.

Essential Functions

Donations Management

  • Maintain current knowledge of U.S. Resettlement Program;
  • Maintain current knowledge of the Refugee and Immigrant Services (RIS) Program;
  • Manage accurate and comprehensive inventory system for RIS in-kind donations;
  • Coordinate logistics and communication for pick-up and distribution of supplies for refugee clients including through apartment setups, donation drives, and individual donors;
  • Serve as agency point of contact for in-kind donations by managing agency donations email account and responding to donor inquiries in a timely manner via phone and email;
  • Work closely with RIS staff to proactively identify donation and volunteer needs, analyze trends, and strategize responsive community outreach;
  • Process vehicle donations and related paperwork for RIS clients in coordination with the CRD;
  • Record and report on in-kind donations provided to clients according to program guidelines and documentation, including but not limited to Matching Grant, on a monthly basis;
  • Participate in vetting and streamlining in-kind reporting processes for the Matching Grant program, including documentation, vetting, and reports to finance;
  • Contribute to RIS donations and growth strategy including storage space and programming;
  • Take lead in transporting donations as well as apartment setups, including furniture and home supplies for refugee families;
  • Support CRD in developing and updating materials and community resources related to donation needs and processes.

Resettlement Support

  • Oversee logistics for apartment setups for newly arrived refugee families, including: monitoring and matching Good Neighbor Partner (GNP) groups with families; communicating necessary client information and setup guidance; liaising with GNP and case management staff, ensuring the furnishings and supplies are provided through home setups in accordance with program guidelines, and appropriate documentation is completed;
  • Develop streamlined process for apartment setup and grocery/meal requests among staff;
  • Spearhead and coordinate the logistics of donations drives with faith communities, organizations, and other groups by interfacing with the community and liaising with RIS staff;
  • Monitor and match requests and interest from in-kind and community members with gift-in-kind needs of clients and assistance for staff;
  • Work closely with CRD to organize and supervise volunteer activities and special projects, such as community donation drives, World Refugee Day events, holiday food deliveries, and volunteer appreciation;
  • Support outreach to congregations and organizations in order to strengthen gift-in-kind donation base, recruit GNP apartment setup partners, and expand affordable resource options (e.g., housing, ESL, supplies) for clients;
  • Fleet vehicles: support coordinating routine maintenance for agency owned vehicles.

Qualifications


Qualifications and Education Requirements

Education

  • High school degree or equivalent

Desired Experience

  • Prior logistics experience
  • Experience with program coordination or volunteer management
  • Experience with faith groups/congregations, service groups, and collegiate organizations a plus

Computer Skills

  • Microsoft Office Suite help

Other Requirements

  • Valid driver’s license with clean driving record;
  • A personal vehicle or access to a vehicle required;
  • Comfortable with physically active job requirements, including lifting furniture;
  • Pass background screen, drug test and TB test

Preferred Skills

  • Knowledge of the US resettlement program;
  • Familiarity with organizations in the DMV area;
  • Strong communication skills;
  • Data entry and use of general office equipment;
  • Attention to detail and accuracy, strong organizational skills.
