Job Description 

The Administrative Coordinator is responsible for the administrative output for the program in terms of reporting and maintaining program records used for service confirmation to our contracting partner. The Administrative Coordinator cultivates a client-centered and trauma-informed approach to service provision and ensures that program reporting requirements are completed. The Administrative Coordinator also completes billable services based on client needs, completes educational sessions, and facilitates access to resources in keeping with the client facing duties of the Program Coordinator team. 

Essential Functions 

  • Ensures compliance with program reporting requirements and oversees implementation of COA standards.

  • Prepares daily and weekly reporting to referring agency and manage database of running client sessions for monthly invoicing. 

  • Organizes and guarantees the accuracy of data regarding program operations and service hours; assists inthepreparation of financial reports. 

  • Manages all aspects of the Intake/Evaluation process including receiving, processing, communicating with, scheduling and follow-up for all new clients. 

  • Provides service and resource coordinationtosupporttheclientand/or family inaccessingnecessary rehabilitativeandsocialservices. 

  • Research community resources andenhancedatabaseoflegal, health, housing, English Language Learning,etc., services;facilitate client connections. 

  • Facilitates workshops, meetings, or education sessions associated with the program, including creation, management, and delivery of culturally responsiveinstruction, and orientation materials to clients. 

  • Responsible for data entry andmaintenance ofclientcase files; completion ofall paperwork and service documentation in a timely manner. 

  • Coordinates and maintains program records of terminated/transferred clients; address related scheduling concerns; communicate with referring agency regarding clients. 

  • Ensuresclient, team member and employer confidentiality; comply with all HIPAA regulations. 

  • Actively establish, enhance, and maintain relationships with key governmental and nonprofit agencies, local community organizations and CARE affiliates.

  • Other duties as assigned. 

Qualifications


Qualifications and Education Requirements 

  • Bachelor’s Degree 

  • Eligible to initiate, pass and maintain e-QIP background check by the National Background Investigations Bureau 

  • DC/MD/VA CPS clearance 

  • DC/MD/VA and FBI Criminal History clearances 

  • Valid driver's license, insurance, and clean driving record 

  • A personal vehicle or access to a vehicle is a plus 

  • Must be a U.S. citizen or a Lawful Permanent Resident 

  • Must have COVID-19 immunizations and booster 

Preferred Skills 

  • Strong organizational skills and ability to manage multiple projects simultaneously with attention to detail. 

  • Excellent oral, written and interpersonal skills, including good communication and “active” listening skills; strong public speaking/presentation skills. 

  • Strong analytical and data management skills, including proficiency in the use of data collection tools, electronic medical record databases and Microsoft Office 365 

  • Knowledge of community resources and services systems. 

  • Knowledge and experience in trauma-informed practices. 

  • Ability to operate and manage within a culturally diverse workplace

  • Fluent in English and Spanish (written and spoken) a plus
