The Client Coordinator / Scheduler is responsible for creating monthly schedules for all employees. Notifies client of changes and monitors employee performance in areas of dependability, responsiveness, timeliness, and client concerns. Provides direction to Caregivers and communicates with HR and recruiter or Operations Manager as needed to assure safe and effective coverage of client needs. Signing up clients for homecare services.

Essential Functions and Basic Duties

  • Create monthly schedules for all employees.
  • Find back-up when someone calls in; or you will provide care.
  • Check monitor daily
  • Check and correct conflicts daily.
  • Make sure employee doesn’t go over 40 hours weekly.
  • Maintains schedule for services requested and provided to agency clients.
  • Sign up clients.
  • Do supervisory visit every month.
  • Fill-in at times if caregiver calls in (If the schedule is done correctly, you wont have to fill in).
  • Manage employees.
  • Assures employees receive complete and accurate directions and information about client needs as directed by licensed professional staff, care plan and service request
  • Reports any scheduling changes and/or client concerns to Human Resource Manager or Operations Manager.
  • Notifies client of changes and monitors employee performance in areas of dependability, responsiveness, timeliness, and client concerns.
  • Participates in the evaluation and performance review of field staff.
  • Verifies time records with schedules.
  • Follow-up with employee on scheduling problems encountered.
  • Participates in determining hiring needs.
  • Minimizes substitution of employees and maximizes permanent coverage.
  • Maintains adequate numbers of available on-call staff.
  • Notifies Human Resource Department of staff needs.
  • Performs other related duties and responsibilities as deemed necessary.
  • Responds to emergency calls and arranges schedule accordingly.
  • Do reports

Qualifications:

  • Candidate must have a minimum of 2 years’ experience in scheduling and as a Client Coordinator
  • Candidate must have strong communication skills.
  • Candidate must be able to quickly resolve people’s problems.
  • Candidate must be familiar with database systems and common HR applications.
  • Candidate must have valid driver's license.
  • Candidate must be able to work M-F; 8-5 pm and on-call.

Knowledge of Axis Care and or GEO
