Job description

The Office Administrator / Scheduling Coordinator position will be the engine behind Locker Inspection Services LLC. This key role has one of the greatest impacts on the organization and will serve as the main communication coordinator between Inspectors, Clients and Real Estate Agents.

Job Title: OFFICE ADMINISTRATOR / SCHEDULING COORDINATOR

Job Type: Contract / 1099 during the probationary period and training – Will transition into W2 after the probationary period has ended

JOB DESCRIPTION:

This position facilitates the paperwork involved with scheduling Certified Home Inspections within the Real Estate Industry. The Office Administrator / Scheduling Coordinator collaborates with clients, realtors, and inspectors to ensure availability, and coordinate schedules. The Scheduling Coordinator also understands the needs, requirements, and preferences of all client types (Home Buyers, Home Sellers, and Real Estate Agents). Through daily interaction with realtors and clients, the Scheduling Coordinator builds relationships with clientele to foster additional business opportunities.

COMPANY DESCIPTION: Locker Inspection Services LLC is a Grand Rapids-based, Family-Owned Residential Inspection Company providing Certified Home Inspections for the Real Estate Industry. Our goal is to make the entire home inspection process an enjoyable, easy, and educational experience for our customers. We take pride in providing our home inspection services with quality, integrity, and exceptional customer service.

Locker Inspection Services LLC is seeking to hire an additional team member for the newly created role of Office Administrator / Scheduling Coordinator. Our ideal candidate is someone who is looking to grow within a family-owned Grand Rapids based company and has had prior experience in the Real Estate Industry either as a Transaction or Scheduling Coordinator.

LOCATION: Home Office – 800 Monroe Avenue, Suite 230, Grand Rapids MI 49503.

COMPENSATION: $18 to $20 per hour

SUPPLEMENTAL PAY: Holiday Bonus, Commission, Incentive Pay, Referral Pay, Training Pay, Cell Phone Allowance, Google Review Bonus, Annual Work Anniversary Bonus.

PAY PERIOD: Pay period begins on Friday and ends on Thursday and is paid weekly.

BENEFITS: Currently, Locker Inspection Services LLC does not offer any employee or contract position medical, dental, vision, life, paid time off, retirement plans, bereavement leave, jury duty or flex time benefits or any other benefits.

WORKING OFFICE HOURS: Working hours for this position are every weekday (Monday through Friday) from 10:00AM to 3:00PM during training (30 Days) and negotiable after the 30-day training period. In addition, occasional evening and weekend hours will be required in the event of a trade show, expo, and sponsored charity or community event as they occur throughout the year.

§ Ability to participate in local marketing presentations, charity events and other community programs

§ Ability to pass all employment screenings, background checks, and testing for technical knowledge proficiencies

§ Available to work some evenings and weekends

§ Ability to tolerate and adapt to fast-paced, occasional high-pressure situations, and potential high-stress environments

§ Ability to work effectively and efficiently under tight deadlines, high volumes and multiple interruptions

RESPONSIBILTIES:

§ Build relationships with clients and realtors to understand their scheduling needs, requirements and preferences

§ Coordinates and confirms scheduled inspections with clients and realtors via Showingtime

§ Ensures all inspections adhere to applicable compliance and contract requirements

§ Online scheduler operation, database creation and entry, document creation and editing, assist with events, assist office manager and owner, and other common office functions

§ Answering phone calls from clients and realtors, taking inspection orders over the telephone, and entering orders into our scheduling system

§ Helping clients and realtors with any questions or changes to their inspection order

§ Processing and coordinating inspection work orders completing home inspection electronic paperwork accurately and in a timely manner

§ Perform special projects, research, and other related duties as required

§ Responsible for creating, maintaining, and updating files and record-keeping systems

§ Create and maintain an exciting and positive work environment for fellow employees, inspectors, clients and realtors

§ Must have exceptional project management skills including planning, organizing, communication, and follow-through related to the successful execution of events, while promoting a positive and productive work environment for employees, inspectors, clients, and realtors

§ Work along with the LIS team on the development, implementation, and maintenance of a social media program

§ Work along with the LIS team on the implementation of innovative ideas, various programs and increasing our organization's brand

§ Filing and assist with other general office duties and operations

§ Work along with the LIS team on event planning, participation, and promotions

§ Assist in the planning and executing corporate fundraisers, charity events and other community involved efforts

§ Client retention efforts sending weekly Thank you packets and more

§ Must provide excellent customer service, anticipating and exceeding the needs of our clients

§ Marketing tasks including mass marketing emails, realtor survival kits, MLS agent marketing emails, and other marketing duties as required

§ Inventory management and restocking of office supplies, inspector documents, inspection and testing supplies, marketing materials, and cleaning supplies

§ Assist owner with daily organization, calendar, communications, and scheduling
