About the Role: Event Coordinator will plan and coordinate all elements associated to execute a successful event. Act as liaison between the client and partners to bring Abel McCallister Abel's vision to life.

Essential Job Function Breakdown: 85% Event Production Planning | 15% Event Employees at Events

This role works closely with (Internal): Management, Fabrication, Art Department, Shipping & Receiving and (External): clients, partners, city officials.

Reports directly to Event Manager and must be available to work on-site at our Nashville location.

Candidate Requirements:

Experience/Education

  • 1 years experience as event coordinator
  • Bachelor's degree preferred
  • Ability to problem solve on the fly
  • Proven ability to lead teams
  • Experience with an agency environment
  • Strong client service skills
  • Strong project management skills

Communication Skills

  • Strong written and oral communication skills; ability to deliver the message clearly, concisely, and effectively
  • Effective listener and communicator
  • Excellent interpersonal skills, strategic thinker and has a strong attention to detail
  • Interface with both internal and external customers clearly, concisely, and professionally
  • Read/interpret documents/contracts/agreements

Technical Skills

  • Software - Google Workspace, Microsoft Office Suite, Adobe Acrobat, Monday.com
  • Specialized training/knowledge: space planning, budgeting, logistics

Job Duties and Tasks:

  • Collaborate with creative team to deliver best-in-class concepts for client activations
  • Lead all aspects of job management from proposal phase to onsite event implementation
  • Assist with generating and managing contracts, COIs, NDAs, budgets, and invoices (clients and partners)
  • Scout locations for upcoming projects and build rapport with landlords and/or management companies
  • Research and build relationships with best-in-class partners that provide services outside agency capabilities
  • Source, contract and manage all external event partners (decor rentals, security, brand ambassadors, F&B)
  • Coordinate cross-functionally with internal resources for event execution (design, signage, fabrication, labor, staffing, A/V)
  • Create and manage event timelines, workback schedules, run of show docs and/or production schedules for client project deliverables and in order to execute the event flawlessly
  • May be asked to assist in other planning, production tasks, fabrication, printing or mailers, as needed
