LMC is Hiring an Executive Assistant to the President & CEO Near Wayne, PA

LMC is looking for a dynamic, experienced individual to join our team as Executive Assistant to the President & CEO. This role will provide high-level administrative support and will be responsible for enabling the smooth operation of the executive office, ensuring effective communication and information flow, arranging meetings, managing schedules, and handling confidential information with the utmost discretion. This role demands exceptional organizational and interpersonal skills, the ability to prioritize and execute tasks efficiently, and the ability to work effectively across the organization under minimal supervision.
Primary Duties And Responsibilities
  • Provide high-level confidential administrative support to CEO first and foremost, and the Leadership team as required.
  • Manage and maintain CEO's calendar of appointments, schedules, and travel arrangements. Assess the priority of different appointments and scheduling and reallocating them as required.
  • Create and communicate corporate calendar that includes company meetings and activities as well as industry meetings to enable longer term resource planning.
  • Coordinating the implementation of initiatives, from development through execution, in conjunction with the Leadership team. Tracks initiatives to ensure deadlines are met and proactively anticipates potential challenges.
  • Providing support to Leadership team with implementing new ideas and processes.
  • Assist the executive team members to determine and prioritize business strategies based on their schedules.
  • Arrange and coordinate meetings/events/workshops (Board, committees, management meetings, dinners, etc.).
  • Handle confidential information and sensitive materials with complete discretion.
  • Prepare reports, presentations (Board, committees, members, suppliers, etc.) in an easy-to-understand way, and prepare memos when required. Conduct research and analyze data to prepare reports.
  • Build and run cadence for leadership meeting, including structuring and helping to deliver company-wide communication.
  • Liaise with Leadership team on behalf of the CEO and with internal staff at all levels on behalf of the CEO when required.
  • Manage information flow in a timely and accurate manner. Develop action plans for the dissemination of information across the organization to promote team integration as well as cross-functional communication and collaboration.
  • Screen and direct phone calls and distribute correspondence. Professionally compose replies/correspondence on behalf of the CEO when required.
  • Prepare the President's expense reports for business-related expenses.
  • Maintain both paper and extensive electronic filing system (Outlook and other).
  • Oversight of projects that do not neatly fit within the organizational chart or that fall between departments or leadership areas of responsibility.
  • Other tasks as required.
Qualifications
  • 10 years of executive level support, preferably CEO/C-Suite levels.
  • High School Diploma or equivalent work experience is required; Bachelor’s degree in business administration or another related field preferred.
  • Strong MS Office application skills including Excel, Word, PowerPoint, PowerBI, and other desktop software. High proficiency in technology acumen.
  • Outstanding organizational and time management skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Strong interpersonal skills and the ability to build relationships with stakeholders including staff, board members and external partners.
  • Expert level written and verbal communication skills, including the ability to ask clarifying questions and work with senior management, internal and external clients.
  • Proactive approach to problem-solving and strong professional decision-making capability.
  • Superior customer service.
  • Able to work in a growing fast-paced environment.
