Lloyd Companies is Hiring a Commercial Property Manager Assistant Near Sioux Falls, SD

Position SummaryThe Commercial Property Management Assistant is responsible for assisting the Commercial Regional Manager in performing all duties and functions required for efficient operation and to ensure the highest level of service.
Essential Functions And Responsibilities
  • Provide exceptional customer service to our commercial tenants.
  • Serve as the back-up when the regional manager is absent.
  • Know and understand each commercial property location.
  • Develop relationships and work closely with vendors.
  • Understand commercial receivables to property and facilitate tenant payments and post them to the ledger.
  • Code payables for each property and troubleshoot questions.
  • Understand annual NNN Reconciliations and communicate with tenants.
  • Assist with entering timekeeping sheets for commercial maintenance and mileage.
  • Create invoices for properties with regard to maintenance and cleaning time.
  • Print monthly statements, review and correct errors with accountant(s).
  • Fold, stuff, and mail monthly statements.
  • Bill tenants utility charges or other costs.
  • Collect and manage Certificate of Liability Insurance forms for each tenant.
  • Maintain department files, including SharePoint.
  • Manage supply inventory.
  • Create welcome packets for new tenants.
  • Coordinate and distribute move-in letters and gifts for tenants.
  • Run rent rolls, delinquency reports, and lease expirations.
  • Manage mailbox keys, parking, garage openers and building keys for all properties.
  • Coordinate with Real Estate Agents on showings, move-ins, signage, etc.
  • Manage digital displays at various locations.
  • Oversee electronic calendar, conference room, fitness center, and kitchen to include regular site visits to ensure they have supplies, remove things left behind and that refrigerators are emptied.
  • Manage and invoice tax payments for several Tenants.
  • Assist in hiring the cleaning vendors and providing regular feedback on focus areas.
  • Coordinate with Vendors on various new Tenant/suite; painting, carpet cleaning, flooring, etc.
  • Understand and manage door access control software at several properties. Elevator scheduling also, as applicable.
  • Schedule and coordinate with Government Vendors for Tenant improvements per lease terms.
  • Perform communications role during emergency situations.
  • Oversee online client portal as main contact for management.
  • Involvement in Owner meetings, included but not limited to, meeting minute recording.
  • This position will provide coverage for regular front desk staff during their absence due to scheduled time off, illness, meetings, or unforeseen circumstances.
  • Performs other duties as assigned and those that may be necessary to achieve company and departmental goals.
