Job Posting: Service Dispatcher:
Hours: 7:00 am to 3:30 pm (or 4:00 pm as required), Monday through Friday, with potential for overtime

Reporting to: Service Manager or Office Manager
Job Description::
As a Service Dispatcher, you will be responsible for efficiently coordinating and dispatching Service Technicians to meet customer needs. Utilizing Sage 300 CRE Service Management software, you will manage technicians' schedules, create and assign work orders, and communicate with customers to schedule service work, routine maintenance, repairs, and return trips. Clear and professional communication with customers and internal stakeholders is essential, as is maintaining accurate records, including incoming parts and preventive maintenance agreements.
Required Qualifications::

• Advanced communication skills, both verbal and written

• Strong customer service skills

• Detail-oriented and organized

• Geographical knowledge of service area or map reading skills

Daily Duties Include::

• Handling incoming customer calls

• Creating and managing work orders

• Scheduling and coordinating all service requests and maintenance

• Dispatching Service Technicians efficiently

• Responding to overnight messages

• Maintaining the dispatch board and schedule

• Forecasting workload for upcoming days

• Updating service-related spreadsheets

• Generating and analyzing weekly workload reports

• Setting up and maintaining customer files

• Managing filter/belt lists

Additional Responsibilities::

• Assisting with preparation of PM Agreement Proposals for new customers

• Entering new PM Agreements into the system

• Generating PM work orders according to seasonal requirements

• Supporting technicians in locating and purchasing parts

• Receiving and maintaining incoming parts

• Reviewing service timecards and preparing for payroll processing

• Checking service timecards for accuracy

• Preparing service-related accounts payable invoices for accounting

• Fulfilling other duties as required
