POSITION OBJECTIVES:The Office Administrator role is a critical position that requires strong organizational, leadership, and communication skills. This role will require proficiency in handling multiple tasks, managing projects and collaborating with various departments to maintain a well-functioning and productive office environment.

Requirements

SPECIFIC ACCOUNTABILITIES

  • Administrative Support

o Provide administrative support to various departments and the Executive Team.

o Establish and maintain efficient office procedures and workflows, ensuring that they are followed consistently.

o Handle and priorities incoming correspondence, emails, and phone calls.

o Maintain and organize records, files and other documentation.

o Communication and Coordination

o Schedule and coordinate meetings, conferences and events.

o Prepare and distribute internal announcements, memos and other communications.

o Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.

  • Facility and Resource Management

o Manage office facilities, ensuring a safe, clean and productive working environment.

o Oversee office supplies and equipment inventory, and reorder as necessary.

o Ensure that offices are restocked with sample products and accurately reflect our branding and overall office aesthetic.

o Coordinate with vendors and service providers to ensure the smooth running of office services, including maintenance, cleaning and IT support.

  • Financial Management

o Collaborate with the finance department to track office expenses and manage the office budget.

o Monitor and control office expenditures to optimize costs.

  • Event Coordination and Travel

o Assist in planning and coordinating office events, parties and celebrations.

o Purchase and distribute gifts for milestone celebrations (births, retirements, birthday, etc.)

o Travel to local mailing facilities to pick up mail, documents, and/or packages.

o Make deliveries to our other facilities or distribute items to appropriate departments.

o Organize travel arrangements for employees, including flights, accommodations, and transportation.

SPECIFIC SKILLS & REQUIREMENTS

  • Associate degree in human resources, Business Administration, or related field required.
  • A minimum of 5 years of office experience preferred.
  • Excellent communication, interpersonal, negotiation, and conflict resolution skills.
  • Excellent organizational skills and attention to detail.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite or related software.
  • Bi-lingual in Spanish required.
