Lindblad Expeditions is Hiring a Field Staff Scheduler Near Seattle, WA

WHO WE ARE

The US & Charter Field Staff Scheduler assigns Expedition Leaders, Naturalists, Historians, Cultural Specialists, etc. to all Lindblad Expeditions’ US flagged and Charter vessel departures. This position is responsible for contacting and scheduling Field Staff and collaborating with the Field Staff Department. The US & Charter Field Staff Scheduler also monitors and schedules staff for extensions, working with the respective Land Manager to ensure the extensions are properly staffed. In addition, the US & Charter Field Staff Scheduler assists with various administrative tasks as detailed below.

ESSENTIAL DUTIES

  • Schedule and confirm all Field Staff positions for US and Charter fleet ships for all voyages and extensions to meet all staffing certification requirements and natural history needs. 
  • Facilitate scheduling changes that arise due to ship deployments or itineraries changes, cancellations and last-minute itinerary changes. 
  • Communicate any last-minute schedule changes to Land Managers, Program Managers, and ships’ staff and crew. 
  • Work directly with the Director of Field Staff and FS Scheduling and Recruiting Manager to determine ‘big picture’ staffing needs for all itineraries. 
  • Work with the Field Staff Scheduling and Recruiting Manager and Expedition Development team to schedule land extensions and determine additional staffing needs, pre- and post- voyage. 
  • Manage and update grids as staff are confirmed. 
  • Coordinate staff arrival/departure dates to be sure that ship is ready for guest embarkation after shipyard and repositioning voyages. 
  • Collaborate with the Dive Operations Manager, the Bluewater Field Staff Scheduler, and the Field Staff Scheduling and Recruiting Manager regarding specific staff who fill multiple roles (e.g. Naturalist/Certified Photo Instructors and Undersea Specialists). 
  • Routinely inform Field Staff Recruiting and Scheduling Manager and Director of Field Staff of any scheduling concerns or conflicts or recruiting needs. 
  • Collaborate with the Field Staff Coordinator team to ensure all administrative needs and communications are being met.
  • Participate in in new staff interviews and provide written feedback in Lever.
  • Be proactive to engage with new staff, set them up with Mentors and familiarize yourself with their skill sets.
  • Participate in the On-Call Program rotation. 
  • Assist the Field Staff team with special projects and administrative tasks as needed. 
DESIRED SKILLS & EXPERIENCE
  • A working understanding of field staff roles on ships and the importance of the cultural and natural history programs in the guest experience on a variety of itineraries. 
  • Ability to develop and maintain strong relationships with field staff contractors or employees, and to effectively communicate via email. 
  • Thorough attention to detail, follow through and ownership of projects.
  • Outstanding time management, logistics, prioritization and organizational skills. 
  • Proficient in Sharepoint, One Drive and the online Microsoft Office Suite. 
  • Ability to work independently, and also in coordination with others. 
  • Exceptional communication and interpersonal skills. 
  • Willing and able to work occasionally outside of the normal business hours as required by business needs, including being on call periodically.
  • Occasional travel may be required. 
GENERAL
  • BA/BS degree preferred.
  • Background in the expedition travel industry strongly preferred.
  • Experience working aboard LEX expedition vessels strongly preferred.
  • General knowledge of natural history and history highlights of the places to which Lindblad-National Geographic travels.

$55,000 - $60,000 a year
This role is eligible for a 5% annual bonus, based on performance.

Using the English language, this person must have the ability to read, write, and comprehend policies, legal guidelines, correspondence, and memos. Must also possess the ability to effectively communicate--both in writing and orally--with a professional demeanor.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit, talk and hear. The employee will also be required to write and type. The employee is occasionally required to stand, walk, and reach with hands and arms.

COMPENSATION STATEMENT

Lindblad Expeditions determines the pay for positions using local, national, and industry-specific survey data. We evaluate external equity and the cost of labor/prevailing wage index in the relative marketplace for jobs directly comparable to jobs within our company. Our posted salary range is based on national data and may be refined for a candidate's region/town/cost of living.

For new hires, we strive to make competitive offers allowing the new employee room for future growth. Salaries will be based on the applicant’s location, level of experience, education, and specialized knowledge and skills. An employee/candidate with a stronger skill set will receive higher pay.
