Lighthouse Behavioral Health Solutions is Hiring an Office Administrator Near Columbus, OH

Lighthouse Behavioral Health Solutions (LBHS) provides individual, outpatient, intensive outpatient, partial hospitalization, residential, psychiatric services, and medication assisted treatment for mental health and substance abuse treatment needs. We are a treatment facility that prides itself in a welcoming and compassionate approach to substance use and mental health treatment. Our comprehensive approach to addictions treatment provides a continuum of care that begins with asking for help and continues through to ongoing peer support. In addition to our state-of-the-art treatment facilities and peer support centers across Central Ohio, we work to remove barriers and promote access to care through our integrative approach and evidence-based clinical treatment.

Position: Office Administrator

Job Summary:

  • The Office Administrator provides a welcoming experience for clients and staff with a warm greeting, clean and organized welcome area, and prompt assistance
  • The Office Administrator ensures that daily administrative tasks are completed effectively and timely
  • The Office Administrator maintains the safety of the building by staying aware of who is arriving and departing and alerting Senior Management to any and all security threats.

Duties and Responsibilities:

  • The Office Administrator complies with LBHS policies and procedures. 
  • Provides a warm greeting and any needed assistance to all incoming clients, staff, and guests. Checks clients into appointments in Carelogic and alerts appropriate personnel of incoming guests and clients. 
  • Ensures the safety of the building by being aware of those entering and leaving, directing clients and guests to appropriate areas, and alarming a manager if there is a security threat. Responsible for following proper procedures in unlocking restricted areas. 
  • Support the transportation team by answering and directing calls to the appropriate person to ensure timely
  • Responsible for providing building safety training to all new hires and maintaining safety signs throughout the building. 
  • Is knowledgeable of office equipment functions including but not limited to the copy machine, Wi-Fi, and phones. Alerts the Site Supervisor and/or Clinical Director of any maintenance issues with equipment and needed supplies. Assists others with the function of the equipment when needed. 
  • Manages communication by checking voicemail at least twice a day, returning calls or sending to the appropriate person, managing updated and accurate phone extension lists. 
  • Maintains a clean and welcoming environment by ensuring cleanliness of front entryway, waiting area, reception area, workspace behind the reception desk, and any floors and walls in site view from the reception area. 
  • Manages deliveries by delivering mail to appropriate people, and making sure outgoing mail has appropriate postage. Promptly has packages delivered to appropriate areas and ensures that the reception area is clear of deliveries. 
  • Works with the leaders to ensure that new hires workstations are set up and supplied. 
  • Manage the scanning of requisition forms after drops have been processed. 
  • Proactively seeks out additional work once daily duties have been completed. 
  • Completes required training in a timely manner
  • Conduct themselves at a high standard of professionalism and abides by the LBHS Code of Conduct of Ethical Behavior.
  • Other duties as assigned.

Required Experience/Abilities:

  • Valid Driver's License and valid car insurance. Must pass BCI check, all Corporate Compliance checks, and employment drug screen.

Required Education:

  • High School Diploma or Equivalent.
