We take pride in promoting a socially responsible and sustainable future through initiatives and investment. SUMMARY OF THE JOB: Reporting to the Facilities Operations Supervisor, provides administrative support to the Facilities Services team to ensure smooth coordination of facility-related tasks and projects.ESSENTIAL FUNCTIONS:Provides backup support to the Facilities Operations Coordinator that includes working knowledge of the Bank’s card access system to maintain proper security, issue replacement cards, update, or eliminate access when Operations Supervisor is not available.Types purchase orders for all Facilities groups using Purchasing at a Glance and obtain proper signatures. Distribute and electronically file purchase orders within the Purchasing at a Glance system. Research Purchase Orders for Facilities staff as needed. Complete purchase requisitions as needed in our purchase requisition system. Monitor purchase requisition system ensuring that facilities purchase requisitions entered are properly signed off on before taking them to enter in purchase order system.Maintains all records of repair and maintenance on Maintenance, Facilities and Corporate Administration vehicles. Performs review repair receipts and mileage logs assuring all documentation is submitted by vehicle users. Assists Facilities Operations Supervisor with maintaining property lease files in ensuring all information is current within the files and in the Pro Lease database.Maintain Key Control Cards for the assignment and return of branch keys. Ensure proper signatures obtained and notify branches of receipt.Collect Fitness Center Waivers from bank employees, grant access, and maintain electronic file of signed waivers. Act as liaison between vendors and branch/corporate employee for notifications of arrivals and any issues to be addressed.Maintain the Facilities Department page on Bank Notes to provide updates from Facilities and Corporate Administration. Monitor Facilities Request System when maintenance manager and facilities operations supervisor are out of the office to ensure any urgent issues are addressed as soon as possible.Assist Project Managers as needed.Assists with phone calls received for the Facilities and Maintenance departments and escalates urgent issues to the appropriate staff members as well as email branch/corporate staff of upcoming vendor visits (HVAC, window cleaning, etc.).Order department supplies from Suburban. Complete required training (online and in-person) by set due dates. MINIMUM KNOWLEDGE/SKILLS REQUIREMENTS:Language, reasoning and analytical skills at a level normally acquired through a completion of a two-year degree or equivalent experience. One to two years of relevant experience preferred.Organizational, clerical and administrative skills.Strong competency in Microsoft Office products.
