Duration: Full-Time

For the start of the 24-25 school year, Libertas Academy Charter School will be moving our Upper and Lower Academy to a brand new building. As the Director of Special Projects for school building construction and relocation, your pivotal role involves overseeing and coordinating all aspects of our relocation project, from planning to execution ensuring a smooth transition for the school community. Your strategic planning and communication skills will play a vital part in ensuring the successful execution of projects that positively shape the future of Libertas.

Duties and Responsibilities

  • Reception and Communication:
  • Greet visitors, parents, and students in a welcoming and professional manner.
  • Answer phone calls, respond to inquiries, and direct calls to appropriate staff members.
  • Manage incoming and outgoing mail and packages.
  • Front office maintenance
  • Ensure the front office space meetings cleanliness and decor expectations
  • Collaborate with school based ops associates to have signage about upcoming school based events and announcements.
  • Student and Staff Support
  • Assist with student attendance tracking and manage late arrivals and early dismissals.
  • Coordinate with teachers and staff regarding student needs and concerns.
  • Provide administrative support to staff members as needed, including photocopying, filing, and data entry.
  • Parent and Visitor Relations
  • Assist parents with inquiries, registrations, and scheduling appointments with school personnel.
  • Provide information about school programs, events, and policies.
  • Ensure visitors sign in and issue visitor badges
  • Administrative Duties
  • Maintain accurate records, including student attendance, visitor logs, and inventory of office supplies.
  • Assist in organizing school events and meetings as needed.
  • Collaborate with other administrative staff to ensure efficient office operations.
  • Attendance Management
  • Act as key member of the attendance team
  • Communicate effectively with families when students are absent.
  • Send daily absentee reports to staff
  • Safety and Security
  • Monitor and enforce school safety protocols, including visitor check-in procedures and lockdown drills.
  • Maintain awareness of individuals entering and exiting the school premises, ensuring the safety of students, staff, and visitors.
  • Collaborate with the school administration and security personnel to address any security concerns or emergencies.
  • Provide support during emergency situations, including assisting with evacuations or lockdown procedures as needed.
  • Stay informed about school safety policies and procedures and participate in training sessions to ensure readiness in handling safety and security matters effectively.

Qualifications:Education: High School Diploma required; Associates Degree preferred

Preferred skills and work experience:

  • A desire to work with educationally underserved student populations and their families.
  • An ability to adapt quickly to change, thrive in a fast-paced environment, and a capacity to remain calm and focused when faced with unexpected challenges
  • Aligned to the mission and values of Libertas Academy Charter School
  • Proven experience as front desk representative, agent or relevant position
  • Excellent time management skills and ability to multitask and prioritize work
  • Strong interpersonal and communication skills; verbal and written
  • Ability to communicate in a calm, respectful demeanor
  • Familiarity with office machines (e.g. fax, printer, telephone etc.)
  • Knowledge of office management and basic bookkeeping
  • Proficient in English & Spanish (oral and written)
  • Excellent knowledge of MS Office (especially Excel and Word)
  • Strong communication and people skills
  • Good organizational and ability to multitask
  • Strong attention to detail, and the ability to solve problems independently
  • Ability to de escalate conflicts with parents/guardians
