Position Title :

HR Benefits Administrator

Exempt Status :

Non-Exempt, Full Time Hourly

Reports to : Associate Director of Human Resources or HR Director

Summary of the Job:

Responsible for benefits administration, including: open enrollment, employee benefits changes, and working closely with Payroll to coordinate payroll deductions. The Benefits Administrator closely tracks and monitors paid and unpaid leaves to ensure FMLA compliance.

Essential Functions :

  • Assist employees with benefit enrollment process and complete enrollment process with benefit carriers.
  • Communicate correct benefit payroll deductions to payroll.
  • Maintain current information and knowledge regarding insurance related leaves and regulations.
  • Maintain accurate current insurance records.
  • Balance monthly invoices and records.
  • Act as liaison between employees and insurance carrier, as needed.
  • Act as liaison with all carriers and report to Assistant Director of HR or HR Director, as needed.
  • Maintain FMLA records and manage processes.
  • Maintain records for long-term disability insurance.
  • Maintain records for short-term disability payments.
  • Ensure payment of premiums during unpaid absences.
  • Audit insurance deductions and level of coverage regularly.
  • Maintain ready working knowledge of insurance/benefits related to leaves and federal/state regulations.
  • Organize annual health fair.
  • Work with insurance carrier on employee wellness initiatives.
  • Responsible for annual enrollment process and communications.
  • Assist employees with better understanding of benefits through communications.
  • Maintain the confidentiality of all information.

Additional Functions:

  • Routine duties performed with minimal supervision using standard practices or procedures.
  • Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor.
  • Participate in proactive team efforts to achieve departmental and company goals.
  • Provide leadership to others through example and sharing of knowledge/skill.
  • Perform other duties as assigned.

Required Education/Experience :

  • Bachelor’s degree and/or 3 years related experience required.
  • 3 years benefit administration experience required.
  • Attention to detail, strict deadlines and ability to work efficiently.
  • A proven record of proactive, ambitious performance and tasks improved and made more efficient.
  • Strong communication skills, both verbal and written; strong writing skills, ability to communicate with various people in different departments; strong experience working with MS Office programs.
  • Must be able to work strategically with various departments to add value, build trust, increase efficiency and positively impact the bottom line.

Necessary Skills :

  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to add, subtract multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral diagram, or schedule form.
  • Proficient personal computer skills including electronic mail, record-keeping, routine database activity, word processing, spreadsheet, graphics, etc.
  • Handle multiple tasks and/or projects simultaneously.

Physical Activity/Dexterity:

  • Manual dexterity sufficient to reach/handle items and work with fingers. Works with fingers and perceives attributes of objects and materials.

Physical Environment Demands:

  • Must be able to remain in a stationary position 90% of the time.
  • The person in this position needs to occasionally move about inside the office to visit other offices, conference rooms, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and telephone.
  • Constantly positions self to operate on a computer.
  • The person in this position frequently communicates with other people throughout each day. Must be able to exchange accurate information when conversing.

Working Conditions/Environment:

  • Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
  • Moderate noise (e.g. business office with computers and printers, light traffic).
  • Risk of electrical shock.

Work Schedule/Hours:

  • Monday through Friday; 8:00 a.m. – 5:00 p.m.
  • Available for overtime as needed.
