The Law Office Receptionist serves as the first point of contact for clients, visitors, callers, ensuring a professional and welcoming atmosphere. This is a busy law office, that requires a well-organized professional who has the ability to multitask effectively. The receptionist is responsible for taking phone messages, calendaring appointments, communicating with attorneys and other firm staff and providing administrative support services.
Responsibilities
1. Greet Clients and Visitors: Welcome clients and visitors to the office in a courteous and professional manner. Provide assistance and direct them to the appropriate person or department.
2. Answer Phone Calls: Handle incoming phone calls, screen and direct them accordingly. Take accurate messages and relay them promptly to the appropriate individual.
3. Schedule Appointments: Manage the office calendar and schedule appointments for attorneys. Coordinate meeting rooms and ensure all necessary preparations are made.
4. Handle Inquiries: Respond to inquiries from clients, prospective clients, and other parties promptly and professionally. Provide information about the firm's services and direct inquiries to the appropriate individual.
5. Maintain Reception Area: Ensure the reception area is clean, organized, and presentable at all times. Monitor office supplies and replenish as needed.
6. Administrative Support: Provide administrative assistance to lawyers and staff, including scanning documents, processing client payments and entering client data for new clients in firm case management system.
7. Manage Correspondence: Sort and distribute incoming mail, faxes and courier services. Prepare outgoing mail and packages for delivery. Assist with the management of email correspondence as needed.
8. Coordinate with Support Staff: Collaborate with other administrative and support staff to ensure smooth office operations. Assist with special projects and tasks as assigned.
9. Maintain Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
Skills
· High school diploma or equivalent; additional education or training in office administration is a plus.
· Previous experience in a receptionist or administrative role, preferably in a legal or professional services environment.
· Excellent communication skills, both verbal and written.
· Strong interpersonal skills with the ability to interact professionally with clients, colleagues, and visitors.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
· Exceptional organizational and multitasking abilities.
· Attention to detail and accuracy in handling administrative tasks.
· Ability to maintain confidentiality and handle sensitive information appropriately.
Salary based upon experience and paid PTO/vacation offered.
