The Office Coordinator is based in Cupertino, CA and reports directly to the Site Manager with a dotted reporting to the site’s Business Manager. The position is responsible for providing administrative support, administration for all hourly employees, account matching while sustaining internal controls as outlined by Accounts Payable and complete all account payable functions timely and accurately. 
Key Targets of the Role
• Administrative duties for plant management; scanning, filling, mail/co and other administration duties as required.
• Assist with hourly payroll administration; daily verification of supervisor approval of hours reported.
What you’ll get to do:
• Assist hiring managers with hourly recruiting, hiring, and onboarding.
• Reconcile vendor accounts using statements, open vouchers, or paid vouchers. 
• Enter production and equipment downtime data into SAP.
• Responsible for receiving and tracking material tickets.
• Respond and follow up on AP inquiries.
• Daily sorting/scanning of accounts payable.
• PO and non-PO processing
• Process daily Baseware invoice match, with the ability to maintain accuracy and process invoices according to schedule. 
• Provide timely customer service for all calls, emails and questions from vendors, internal and external customers. 
• Establish and maintain open communication with vendors, as well as internal and external customers. 
• Participate in some month-end processes.
• Recorder for Safety, Management, and miscellaneous meetings.
• Special projects as assigned by management
Essential Experience and Skills
• High School Diploma or equivalent required, Bachelor’s degree in Business or Accounting preferred.
• 3 to 5 years administrative experience and previous accounting or payable experience.
• ERP (SAP) high volume 3-way matching experience within the last year. 
• Two or more years our hourly, preferably, union recruiting experience.
• Hourly payroll experience.
• Working experience in a union environment a plus.
• Demonstrated customer service focus and advanced communication/interpersonal skills.
• Ability to participate effectively in a team environment.
• Excellent communication skills both oral and written.
• Ability to work overtime to meet changing deadlines. Overtime may be required at month-end close.
• High level of accuracy and attention to detail while working in a fast paced, deadline-oriented environment.
• Proficiency in Microsoft Office (Outlook, Excel, and PowerPoint).
• Ability to operate various office equipment (printers, copies, etc.)
• Bilingual (English & Spanish) a plus.
