RECEPTIONIST

Our Receptionist creates the first impressions for our firm and is an extremely important gatekeeper. This individual helps maintain client relationships and promotes the ongoing image our law with established clients, prospective clients, and others in the community. Our Receptionist plays a critical role on our team.

Duties and Responsibilities:

  • Manage client relationships and provide excellent customer service.
  • Create, maintain, and direct the flow of incoming and outgoing documents, reports, correspondence, files, and appointments.
  • Monitor client feedback and respond to inquiries in a timely manner.
  • Develop and implement strategies to increase customer satisfaction.
  • Prepare and maintain conference rooms, front reception area, restrooms and other areas.
  • Ensure attorneys are prepared for the week ahead, know who they are meeting with and make sure they have what they need.
  • Support attorneys in the signing process as both a witness and/or notary, including both document assembly and reassembly.
  • Assist with copying, scanning, faxing, and emailing completed estate plans and other documents for electronic processing.
  • Observe business etiquette and maintain a professional appearance.
  • Answer, screen, and forward phone calls in a way that ensures our ongoing quality assurance.
  • Track, order, and replenish office supplies.
  • Manage maintenance and repair of all office equipment.
  • Perform other duties as directed by the Managing Attorney, Partners, or Support Staff.

Qualifications:

  • Possess a High School Diploma or GED.
  • Experience as a frontline, client service professional possessing the ability to provide concierge level service with a pleasant attitude and a soft touch.
  • Possess exceptional attention to detail and capacity to manage multiple assignments with minimal supervision and frequent interruption.
  • Self-motivated with the aptitude to learn quickly, and work both independently and as part of a team.
  • Ability to manage the intake and workflow for others, while also providing support in office and clerical tasks.
  • Work well under deadlines, handle confidential information with professionalism, and display strong interpersonal skills.
  • Excellent written and verbal communication skills.
  • Enjoy being behind a computer with extensive experience working with or ability to learn Microsoft Word, Outlook, Calendar, Zoom, and multifunction copiers.

Exceptional candidates will have an ability to establish connections with our clients and prospective clients, quickly determine what they need, and develop trust so they know they have come to the right firm to get their estate planning affairs in order. An exceptional candidate will also quickly learn how to distinguish between someone “just kicking the tires” and a real potential client and have the professionally and interpersonal skills to handle each appropriately

Compensation and Benefits:

Compensation is commensurate with experience and job performance.

This is an in-office position in northeast Wichita, consisting of roughly 40 hours per week, Monday through Friday.
