Job Summary
The Payroll Administrator oversees all the payroll functions of the organization. The role will primarily involve processing payroll, final review of timesheets, overseeing the calculation of all pay related activities including bonus, tax withholdings, and commission pay. Resolving payroll and timesheet issues, ensuring payroll compliance, monitor and manage any government related programs related to payroll, maintain payroll records, prepares, and submits payroll reports to management. The Payroll Administrator evaluates and improves the accuracy and efficiency of the payroll process using new/existing technologies or procedures. Executing project initiatives with departmental projects as they arise. The ideal candidate will have experience in Payroll. Strong communication and leadership skills. Proficiency in accounting, HRIS, ERP Software packages, and Microsoft Excel. The candidate should possess strong analytical and problem-solving skills, attention to detail, and a commitment to accuracy and integrity within the organization. Ensures state and federal compliance, determines appropriate course of action, and executes any changes to Payroll that may be presented. Includes any other tasks as deemed required by the Controller, General Manager
Essential Duties and Responsibilities includes, but not limited to the following:
• Responsible for managing all aspects of the payroll process, including overseeing the calculation and processing of employee pay, ensuring accuracy of data entry and payroll reports, and monitoring compliance with company policies and government regulations for multiple entities.
• Handles complex payroll transactions, such as processing special payments, withholdings, bonuses, calculating taxes and other deductions, and reconciling payroll accounts.
• Addresses any issues related to employee payroll, such as questions about paychecks or deductions, discrepancies in pay, or payroll errors.
• Provides guidance and training to payroll staff, ensuring that all payroll activities are performed accurately and on time.
• The senior payroll specialist ensures compliance with federal, state, and local payroll laws and regulations, as well as company policies and procedures related to payroll.
• Maintains accurate and up-to-date payroll records, including employee payroll information, tax forms, and other related documents.
• Prepares, processes, and submits payroll and provides reports to management and other stakeholders as needed.
• Continuously evaluates and improves the payroll process, implementing new technologies or procedures to improve efficiency and accuracy.
• Responsible for the compensation module within the payroll software.
• Assists with generating relevant reports for auditors and third parties as needed.
• Responsible for monitoring and maintaining existing government programs related to payroll to ensure compliance and satisfaction of budgets.
• Conduct evaluations alongside Human Resources on market conditions for salaries, bonuses, and benefits packages for employees, ensuring they are competitive and fair.
• Identifies training needs, develops training programs, and conducts training sessions for employees.
• Performs other routine duties and ad-hoc assignments.
Supervisory Responsibility
• Manage and monitor payroll to ensure payroll objectives are being met.
• Train and mentor staff related to any Payroll functions.

Qualifications

Education and/or Experience
• Associate degree in accounting, human resources, or related field.
• 2 – 5 years related experience and/or training; or
• equivalent combination of education and experience.
• Professional certification (Preferred)
Language Skills
Ability to read and comprehend instructions, correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Bilingual (English/Spanish) is a plus.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Understand and use accounting ratios. Ability to analyze complex financial information and provide actionable insight.
Certificates, Licenses, Registrations
All office personnel must hold a current driver's license.
Computer Skills
To perform this job successfully, an individual should have knowledge of the following:
• HRIS/Payroll Software (Paylocity Preferred)
• Microsoft Office Suite (MS Word/Excel/Outlook)
• Google and Edge Explorer browsers
• Service Titan (Preferred but not required)
• Communications Software (Preferred experience with Zoom/Teams/Slack/Dialpad)
Navigate smart phone, laptop, and/or tablet.
